DallasNews Corporation, the parent company of The Dallas Morning News and marketing services agency Medium Giant, seeks an experienced Executive Assistant to provide high-level administrative support for the Chief Executive Officer/Publisher and the President. This role will require discretion and confidentiality. The successful candidate will have experience working for a public company and in a fast-paced and, at times, demanding environment.

This is an excellent opportunity for an individual with proven proficiency in supporting C-Suite-level executives for a public company. Advanced skills in business administration, organization, and project management are required. The Executive Assistant will support the CEO/Publisher in all day-to-day activities and will serve as the primary point of contact for internal and external constituencies.

The Executive Assistant will support the President in all matters related to organizational operations, finance, Board of Directors, governance, and compliance. The successful candidate will perform various complex, diverse, sensitive, and confidential administrative functions while providing overall gatekeeping and information management support. Medium Giant's suite of services includes creative services, marketing strategy, media planning and buying, website development, and selling the owned and operated media assets of The Dallas Morning News. Medium Giant clients are located throughout the United States. JOB RESPONSIBILITIES Sophisticated calendar management.

This requires prioritizing inquiries and requests while troubleshooting conflicts for internal and external commitments, boards, and meetings. This could include personal obligations as necessary. Ensure preparation for all internal and external meetings, including but not limited to agendas, meeting materials, list of attendees, confirmation of venue, etc.

Assist with special projects, design and produce complex documents, reports, and presentations, and collect and prepare information for meetings with staff and outside parties. General administrative duties include composing and preparing correspondence, maintaining contact lists, making travel arrangements, and completing expense and mileage reports. Coordinate and correspond (written and verbal) with the Board of Directors, external auditors, legal advisors, subscribers, vendors, and other external parties, as needed.

Liaison between the CEO, President, Board of Directors and shareholders. Preparation of Board of Directors and Committee meeting agendas, meeting room preparation, and material organization and delivery to the Directors prior to the Board meetings. This includes coordination of travel arrangements for out-of-town Directors as needed.

Serve as the primary point of contact for internal and external constituencies on all matters about the CEO and President, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the Executive and organizational policy style. Keeping the CEO and President informed of upcoming commitments and responsibilities and following up appropriately.

Assist with the creation of CEO employee and community-wide presentations. Proficiency in email management, including providing timely assistance to the CEO and President in responding to emails and inquiries. Coordinate and arrange on- and off-site meetings, including but not limited to selecting the venue, contract negotiation, planning for food and beverage needs, and preparing slides and materials, including the agenda.

Maintenance of all filing systems for the Board of Directors and corporate governance materials. Coordinate quarterly Board of Director meeting dinners. Assist with the preparation and execution of the Annual Meeting of Shareholders.

Preparation of quarterly legal litigation reporting and reports for audit and insurance. Managing the setup and preparation of the quarterly investor call. Preparation of materials for the election of annual officers.

This exempt role may occasionally require checking and/or responding to emails on weekends and/or evenings.While we value flexibility, this role necessitates a consistent in-office presence Monday through Friday to effectively collaborate with those that you will support in the role. Bachelor's degree or higher. 8+ years of related experience supporting multiple C-Suite level management for a public company.

Exceptional Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Visio. Alongside G Suite. Preparation of materials for the election of annual officers.
