This position serves as the Administrative Assistant to the Chairman, Program Administrator, Faculty and Administrators in the Department of Neurosurgery. With minimal direction and latitude for independent judgment, performs duties requiring high-level and advanced administrative and management skills. This position deals with highly confidential information and must be able to work with limited supervision and exercise independent judgment. Experience and knowledge of University policies and procedures is required. Essential to the position are strong interpersonal and organizational skills, the ability to prepare faculty letters and promotional materials independently.
Credentialing, Program, and Department Support 65%
· Develops, analyzes, summarizes, and distributes reports for Chairman and Program Administrator to track medical staff appointments, reappointments and promotions (both local and regional). Creates and maintains database to automate the credentialing and medical staff processes for the department. (10%)
· Ensures the faculty comply with ongoing requirements to obtain physicals, PPDs, maintenance of license and certificates, mandatory training required for continued medical staff privileges and other requirements. (10%)
· Acts as the liaison between the Department and central credentialing office to facilitate the credentialing process for medical staff including all regional locations. (10%)
· Conducts provider enrollment and recertification activities for payers, including Worker’s Compensation. Updates and attests Council for Affordable Quality Healthcare, Inc. (CAQH) NYS provider profiles. (10%)
· Coordinates with Sovie Center to process applications and new hire credentialing forms for Advanced Practice Practitioners; coordinates orientation and onboarding schedules and enrolls providers with payers. (10%)
· Plans and makes all administrative arrangements for meetings and special events, including meeting facilities and equipment, travel, living quarters and meals; prepares program materials; and coordinates with service departments of the University. (10%)
· Processes invoices and assures fiscal responsibility tracking items for reimbursement and purchasing. Reconciles purchase card (Pcard) account on a monthly basis. (5%)
Human Resources Activities 35%
· Responsible for HR related items in collaboration with the UR employment office and the department’s HR Business Partner.
· Supports the staff recruitment and hiring process, including paperwork administrative for new hires, promotions, extra compensation, salary changes, pay distribution updates and faculty forms.
· Tracks and approves time for staff and submit information to payroll in a timely manner.
· Manages and maintains department employment records and run, analyze, and summarize reports.
· Maintains knowledge of legal requirements and government reporting regulations for employment.
· Assists with other duties and projects as required. (5%)
Requirements:
· Graduation from college or an equivalent combination of experience and training; At least 1 year of related work experience in an administrative capacity in an academic office or project management or the equivalent experience in business.
· Strong interpersonal, organizational, communication (including written communication), management, multi-tasking and leadership skills.
· Strong attention to detail and proficiency in Microsoft Excel, Outlook, and Word.
