Staff Accountant

Position Summary:

We are seeking a Staff Accountant to join our team in the Administration Department. The ideal candidate should have knowledge and experience in small business accounting operations (e.g., A/P, A/R, Payroll, Sales Tax, and General Accounting) in accordance with US GAAP. The candidate should be proficient in the use of accounting software (e.g., Quickbooks Online), spreadsheets (e.g., Excel) and enterprise resource planning software (e.g., Filemaker).

Knowledge of Biotech and/or Life Sciences service sector operations is a plus. The Staff Accountant will have no direct reports but may interface and coordinate on a daily basis with various internal departments as well as external Vendors and Consultants.

Key Responsibilities:

• Accounts Payable: Add new vendors; review, enter and pay bills; process reimbursements.
• Accounts Receivable: Add new customer accounts; process customer POs and update billing status; process invoices; receive payments; resolve discrepancies; debt management and collection; bank deposits.
• Sales Tax: determine tax status of purchased and sold items and applicable user taxes; generate sales tax reports and make payments; assist with quarterly returns and audits.
• Payroll – oversee employee reporting to an external payroll vendor; manage employee benefit contributions and Federal/State deductions.
• General accounting: maintain the chart of accounts: generate sales, expense, and cash flow reports; cost accounting; budget forecasts; assist in issuing 1099s and financial documents as required.
• General Administration: posting of employee notices; processing EDD inquiries; assisting with event planning and execution.

Qualifications:

• Bachelor's degree with an emphasis in Accounting, Finance, or equivalent
• 2-3 years of accounting experience, in Biotech or Life Sciences preferred
• Strong numeracy abilities
• Excellent attention to detail
• Good understanding of and ability to adhere to GAAP
• Proficiency in accounting software (e.g., Quickbooks Online, Excel) and database software (e.g., Filemaker)
• Knowledge of general business practices
• Data analysis and critical thinking
• Accounting organizational and time management
• Written and verbal communication
• Ability to maintain confidentiality with all aspects of employee and company information
• Integrity and strong work ethic

Requirements:

This position requires the ability to sit for extended periods of time at a desk. Work must be performed at our worksite in Santa Clara, CA 95054. You must be able to reliably commute or plan to relocate before starting work. This position does not qualify for reimbursement of relocation expenses.

Additional Requirements:

Ability to pass a personal background check and/or clearance at the time of hire.

About the Job:

This is a full-time position, typically 40 hrs/week, M-F, within the hours of 8am-6pm. You will report to the Chief Financial Officer.
