This position is responsible for providing executive administrative support to leaders and teams within the Insulation S&T R&D group. In this role you will be responsible to increase efficiency and effectiveness of the team with project support, calendar coordination, event and meeting planning, expense control and budgeting in such a way that coordinates across the team and ensures successful outcomes. The person in the role will have contact with employees at all levels and will frequently interact with administrative support for other Science & Technology and Insulation teams.

JOB RESPONSIBILITIES
Administrative Support for NA Building Insulation/Melt & Fiberizing/NA Technical Insulation (90%)
- Utilize SAP for sourcing materials and services needed for the team.
- Purchase order, invoice and contract management and shipping.
- Liaising with suppliers and contractors as needed to support fulfillment service and sourcing.
- Manage purchase card administration (i.e. office supplies, annual industry memberships for the organization).
- Timely reconciliation of purchase card on a monthly basis.
- Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, and forms
- Manage and maintain calendars for R&D Directors
- Support coordination of domestic and international travel arrangements and maintain T&E for R&D Directors
- Interview scheduling and onboarding of new team members.
- Coordinate all logistics of offsite and/or onsite meetings.
- Develop relationships with staff in other departments, e.g. finance, HR, S&T, business, manufacturing
- Maintain contact database, employee list, and inventory
- Order and oversee office supplies and food deliveries for group meetings
- Participate in group meetings and S&T administrative meetings
Technical Talk Support (10%)
- Schedule all monthly meetings/Reschedule when necessary
- Email speakers for abstract/bio and add to meeting request
- Coordinate with speaker and their business admin on tech support
- Send a site reminder a day or two prior to the meeting
- Arrange catering and room set up
JOB REQUIREMENTS
MINIMUM QUALIFICATIONS:
- High School diploma required, Associates or Bachelors Degree preferred
- 5-10% Travel
PREFERRED EXPERIENCE:
- Minimum 5 years of administrative experience
- Experience effectively communicating both with the internal and external customer and managing these relationships
- Event planning
- Proven track record of success collaborating with others

- Ability to handle multiple tasks, demonstration of flexibility and prioritization
- Ability to excel in a fast paced and ever-changing work environment
- Strong interpersonal, communication and organizational skills
- Handles sensitive information in a confidential manner
- Ability to work independently and proactively with minimal supervision and guidance
- Strong working knowledge of the MS Office Suite including Outlook, Excel, PowerPoint and Word.
- Working knowledge of SAP.
