Supports the Executive Director of Human Resources & Administrative Services (EDHRAS) performing standard and non-standard clerical and administrative duties at a high level of discretion, resourcefulness and collaboration. This is a dynamic position that requires multi-tasking, prioritization and strong attention to detail. The ideal candidate will have excellent communication skills, the ability to handle sensitive information with confidentiality, and a quick thinker who is flexible and able to adapt to changing demands and priorities. Also supports the HR and administrative team by performing day-to-day operational functions.
JOB DUTIES
- Manages administrative and logistical affairs for the EDHRAS; effectively triages, organizes, prepares meeting documentation, gathers needed data and information, tracks deadlines, and carries out administrative support needs.
- Processes invoices, expense reimbursements and reconciliation of business credit cards.
- Assists EDHRAS with various meeting presentations.
- Coordinates virtual and in-person meeting logistics and communication, equipment, refreshments, meeting documentation (e.g., schedules, communication, meeting materials, tech set up, refreshments, minutes, etc.).
- Supports various HR functions, such as employment verification, recognition programs (Service Awards, Retirement Awards, Bereavement Memoriam), department timesheet submittals, HR Service Center coverage, mail distribution and special projects.
- Regularly works with highly confidential and sensitive information such as compensation, performance issues, legal matters, etc. and partners with leadership and administrative staff from various departments.
- Builds relationships and collaborates with peers and others to achieve departmental and company initiative and objectives.
- Develops and recommends standard office procedures and systems; ensures smooth office operations.
REQUIREMENTS
- Bachelor’s Degree or equivalent experience.
- 3 years of experience in administrative leadership support.
- Excellent communication, interpersonal, multi-tasking and Microsoft Office/Outlook skills.
- Clerical experience in healthcare or HR, highly desirable.
