We are seeking to hire a full-time Administrative Assistant. The ideal candidate will possess excellent communication skills with a strong work ethic and heavy attention to detail.

Summary: • Under general supervision, the Administrative Assistant collaborates effectively with the administrative team members to manage and contribute to the overall workload. The position provides data entry and administrative support to the department. The position requires multi-tasking skills, with attentiveness to detail and accuracy. Position handles voluminous documents requiring flexibility and the ability to work well under pressure. This position has no supervisory responsibilities.
Essential Duties and Responsibilities:
- Collaborates effectively with the administrative team members to manage and contribute to the overall workload.
- Answer phone calls with professionalism and direct inquiries to the appropriate parties.
- Handles various errands as necessary, including trips to the Post Office, FedEx, Bureau of Conveyances, bank deposits, and other miscellaneous hand deliveries
- Assist in E-Filing Court Documents and Recording Documents with the Bureau of Conveyances.
- Daily monitoring and updating of various client portals and Case Management Software.
- Prepares mailings and operates the postage machine.
- Process various legal documents, including scanning, filing, uploading to client portals, data entry, and distribution to relevant parties.
- Opens new files in the case management system, communicates with clients to obtain necessary documents, and performs accurate data entry.
- Completes thorough initial reviews, focusing on the accuracy and verification of information in the Case Management Software.
- Assist in preparing hearing materials for attorneys.
- Assist in various administrative accounting tasks, including processing checks, receipts, invoices, and coordinating payments to vendors.
- Take meticulous notes during training sessions and when receiving feedback. Reference these notes as needed for efficient and accurate completion of assignments.
Qualifications:
· High School Diploma or General Education Degree (GED) required.
· 3+ years administrative experience
· Proficient in Microsoft Office Apps
· Minimum typing speed 50 wpm
· Operate copiers, scanning equipment, postage machine and multi-line phones
