Work Hours: 7AM to 3PM (Monday to Friday)

We are actively seeking a skilled and proactive Administrative Assistant to join our dynamic team. This role plays a vital part in managing various administrative and financial functions for the company, ensuring the smooth operation of our office environment. Primary Duties:
  1. Accounts Receivables and Accounts Payables Management:
    • Utilize tools such as Intacct, Expensify, Excel, Slack, and Google Suites to manage financial transactions.
  2. Payroll Management:
    • Coordinate bi-weekly payroll processing in collaboration with the company's payroll partner, ProService, and Time & Attendance using Nowsta as the software.
  3. Invoicing:
    • Manage weekly invoicing using Excel to ensure timely billing and payment processing.
  4. Budget Management:
    • Create and maintain operating expense budgets for the company.
  5. Financial Reporting:
    • Present financial updates at the weekly Executive Committee meeting and monthly Profit & Loss (P&L) meeting.
  6. Office Management:
    • Order office supplies and handle troubleshooting of office-related issues (e.g., air conditioning, lights with vendors).
  7. Human Resources Support:
    • Assist in onboarding and offboarding part-time and full-time team members.
    • Answer emails and phone calls daily.
  8. Schedule Management:
    • Manage the schedules of the company's owners, ensuring efficient coordination of their appointments and commitments.

Requirements:
  1. Administrative and Financial Skills:
    • Demonstrated excellence in administrative and financial tasks.
  2. Communication Skills:
    • Excellent English language skills, both written and verbal.
  3. Proactive and Troubleshooting Abilities:
    • Proven ability to proactively identify and resolve issues.
