The U.S. Agency for International Development (USAID) Administrator provides overall direction to the Agency in its administration of the U.S. foreign economic assistance programs and the appropriations made available for such purposes under the Foreign Assistance Act of 1961, as amended. The USAID objective is to support partners to become self-reliant and capable of leading their own development journeys and make progress toward this by reducing the reach of conflict, preventing the spread of pandemic disease, and counteracting the drivers of violence, instability, transnational crime and other security threats. The incumbent serves as a Special Assistant and Advisor to the Deputy Administrator for Policy and Programming (DA-PP), providing administrative and logistical support under the direction and supervision of the Deputy Administrator for Policy and Programming in the Office of the Administrator (A/AID). The Incumbent guides Bureaus and Independent Offices on directives being driven by the DA-PP and provides steers to B/IOs based on the FO direction. The incumbent reports directly to the DA-PP and coordinates closely with the Senior Director for Operations.

Coordinates extensively with disparate organizational elements to direct the administrative work of the DA-PP, based on knowledge of the agency's mission, function, and substantive programs. The organization has multiple levels of hierarchy and disparate technical functions that require formal administrative controls and different reporting structures to accomplish the substantive work of the organization.
Coordinates meeting locations, dates, participants, and agendas. Working with the Front Office advisors, scheduling team, and ES staff, ensures that briefing materials for the DA-PP are tasked and received at the deadlines set before scheduled meetings/events.
Assesses and recommends office policy changes to remedy conventional situations, and installs administrative procedures that affect subordinate organizational segments.
Answers questions concerning policies and procedures related to obtaining supplies and services.
Handles routine inquiries and those requiring knowledge of the organization's activities or its internal administrative procedures. Refers inquiries requiring technical program knowledge to an appropriate staff member for follow-up. Additionally, the incumbent will track correspondence, such as thank-you notes.
Initiates and coordinates agency-wide analysis efforts and dialogue sessions, to devise Agency conflict stabilization strategies, policies, and systems, particularly to ensure projects are transparent, accountable, effective, and results-oriented. Initiates and leads interdisciplinary task forces, working groups, or similar efforts within and outside the U.S. sectorial problems, international development projects, policies, and strategies, and identification of participants.
Participates as a full member of the DA-PP's team ensuring that priority activities and responsibilities are carried out, including providing back-up support in the absence of other staff or providing assistance in other comparable positions within the Office of the Administrator.
Coordinates administrative activities to support unusual requirements for travel preparation, supplies, property, or office moves, such as recommending actions to ensure the economical and efficient use of equipment and property.
Advises management and staff in the interpretation and application of administrative procedures.
Analyzes complex problems or interrelated issues in developing and maintaining relationships with various stakeholders within the Agency.
Collaborates on the development and release of public information such as press releases, fact sheets, newsletters, speeches, or other briefing materials that relate to the DA-PP.
Coordinates with ES the final review of materials with the appropriate legal, technical, and management staff to ensure accuracy and suitability of release.
Staffs the DA-PP for all engagements and meetings including all foreign and domestic travel.
Provides operational support to the DA-PP and ensures daily operations from scheduling to other logistical details of the DA-PP's day are handled appropriately.
Tasked with deciding what memos, meetings, and decisions generated for the DA-PP's attention, should be prioritized.
Bachelor's Degree required in International Affairs, Communications, Economics, Public Policy, Business or related field and six (6) years of relevant experience.
Master’s Degree in any of the above mentioned fields preferred.
