Shipping Coordinator

We operate over 700 acres of state-of-the-art nursery production facilities with headquarters in St Charles, IL. With 50+ years of history, Midwest Groundcovers is family-owned and focuses on environmental sustainability and teamwork to support our customers.

Based in our St. Charles headquarters facility and reporting to the Shipping Manager, the Shipping Coordinator plans, schedules, and implements procedures for 14 drivers to ensure the most efficient and economical routing and movement of customers’ orders in an error-free manner.

Responsibilities include:

Performing daily functions to provide excellent customer service for internal and external customers.

• Coordinating with customers and sales reps on special conditions of deliveries.
• Scheduling and routing deliveries on the trucks in a most economic and efficient manner.
• Daily driver coordination.
• Communicating customer’s needs, such as specifying delivery instructions.
• Reconciling driver paperwork and receipts.
• Coordinating deliveries and pickups with internal customers and vendors.
• Providing feedback to Shipping Manager on driver cooperation.
• Communicating any out of State overnight deliveries ahead of time.
• Process improvement.
• Schedules deliveries.
• Tracking information on LTL shipments.
• COD payments.
• Issues with deliveries (truck breakdowns, delivery delays, plant issues, etc.)
• Router / Dock Coordination
• Communicates with the Order Fulfillment Coordinator & Dock Foreman on any load changes / additions and special requests.
• Communicates with Inside Sales: truck load information and capacity, plant returns and adjustments (shortages, quality issues), LTL shipments and tracking numbers, delays or issues with deliveries, coordination and tracking of LTL, UPS and out of zone shipments.
• Invoicing paperwork.
• Confirms and submits orders.
• Communicates with Admin about all COD payments (credit cards, checks etc.)
• Coordinates with outside carriers for drop shipments when more efficient than company fleet.
• Resolves customer complaints together with Sales Operations Management Team.
• Schedules deliveries and pick-ups with internal customers and vendors. For example, trade shows, warehouse transfers, orders for production, etc.

Maintains DOT Files and paperwork. Enforce current DOT rules and regulations.

• Knows and understands the current DOT regulations and ensures Midwest Groundcovers is in compliance.
• Maintains Shipping and DOT files and records to meet standards.
• Performs internal DOT audits.
• Daily driver logs/ paperwork.
• Driver medical cards.
• Drivers licenses.
• On-site DOT audits.
• Bi-annual driving records.
• Schedules drug and alcohol testing with HR.
• Files reports on time in accordance with all DOT regulations.

Process Development

• Supports the shipping and logistics team in process improvements.
• Communicates with the sales team on how we can better improve cut-off times for customers.
• Updates live truck load planners for sales team to ensure trucks are filled to capacity.
• Assists in new process testing.
• Improves truck load and cage capacity efficiencies.

Qualifications:

• Degree preferred
• 2+ years of related shipping experience.
• 40-60 hours per week; may require overtime for some periods in peak season.
• Excellent planning capabilities in a fast-paced environment.
• Some Saturdays required April through November.
• Experience using Excel, Microsoft, ERP
• Knowledge of DOT regulations.
• Driver routing and mapping experience
• Prefer bilingual in English and Spanish.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour

Expected hours: 40 – 60 per week
