Department Overview:
The Accounting department has financial oversight of accounts receivable, purchasing, accounts payable, monthly financial statement preparation, payroll processing and internal controls for MDA. The team works closely with all other departments within MDA to ensure timely and accurate financial information is available to those charged with oversight of the organization.
Position Description:
The Senior Specialist, Payroll is responsible for overseeing payroll functions in conjunction with Paycom to ensure timely and accurate processing of the payroll in an efficient, accurate and confidential manner. They will support multi-state payroll and be the organization’s point of contact for employees and Paycom with payroll inquires. Senior Specialist, Payroll will also be the liaison between Accounting and the Human Resources department to stay up to date on all regulations and ensure accurate reporting between departments and to provide support when necessary. The successful candidate is efficient, detail oriented, and works with the highest level of confidentiality. This position will report to the Vice President and Controller.
What you'll do:
- Process bi-weekly payroll accurately to ensure compliance, accuracy, and efficiency.
- Recording and maintaining accurate files of all payroll records and data and preparing reports and data as needed.
- Ensures compliance and adheres to company’s polices relating to processing of wages and paid time off.
- Maintain control of company payroll files, with strict confidentiality.
- Reviews and imports employee timecards into the payroll system.
- Responsible for entering requisitions into the accounting system.
- Processes payroll corrections including Investigating and resolving any payroll discrepancies.
- Processes garnishment, W-2 changes, benefit changes, and other payroll impacting changes in a timely manner.
- Maintains accurate payroll records including supplying necessary payroll reports and metrics.
- Processes special payrolls including the annual bonus and year-end adjustment payrolls.
- Researches and resolves questions from all staff on various payroll related information in partnership with HR.
- Maintains knowledge of government regulations and requirements – ensures compliance.
- Partners with Human Resources Department – HR Operations and Benefits team to ensure the integrity of the payroll data including data related to new hires, terminations, transfers, and rate changes. Makes updates as necessary.
- Maintains Paycom relationship including acting as the primary contact for any Paycom questions or concerns in relation to payroll or other assigned areas.
- Ensures year end tax documents are correct and sent out in mandated timeline.
- Perform other duties as assigned.
Salary Range:
This position's salary range is $65,000 - $70,000. Final offer amounts and levels are determined by multiple factors, including your experience, and may vary from the amounts listed above.
What we are looking for:
- Bachelor’s Degree with emphasis on Business, Finance, or Bookkeeping preferred.
- 5+ years of payroll experience utilizing required. Experience with processing payroll on Paycom system.
- Ability to manage multiple priorities and time sensitive deadlines, efficiently.
- Advanced computer skills in MS Office (Outlook, Word, Excel, and Power Point).
- Strong working knowledge of multi-state payroll practices and labor & compliance guidelines.
- Experience with report writing module, exporting/importing for monthly reporting.
- Strong communication skills to facilitate working in a collaborative team environment.
- Meticulous attention to detail, self-motivated, maintains confidentiality.
- Proactive and capable of working as a member of a team, as well as independently.
- Ability to anticipate important timing needs that may impact the company’s payroll and benefits.
- Ability to understand a sense of urgency related payroll request and expectations.
