Youth Collaboratory is seeking applications for our Senior Accountant position, reporting to the Controller. The Senior Accountant is responsible for the preparation of financial transactions, accrual account records and grant/contract reporting as well as assisting with high level accounting tasks for the overall organization. The Senior Accountant is a full-time, exempt position.

Primary ResponsibilitiesDeveloping and maintaining an onboarding process for new and renewal grants and contracts to facilitate financial transaction entry and monitoring
This includes securing copies of executed awards/contracts, maintaining a database of active grants/contract information such as term, award amount and reporting requirements, and working with program managers to understand grant/contract terms and conditions to ensure compliance with financial requirements.
Federal Grant and Contract Reporting Activities
This role is responsible for preparing monthly financial and statistical management reports by grant/contract; providing variance analysis between budget/contract and actual results, preparing, reconciling, and submitting Federal grant drawdown requests, preparing and submitting quarterly and close out reports for Federal grants through Federal grant reporting systems in collaboration with the Controller. Senior Accountant is also responsible for preparing grant budgets and budget modifications in collaboration with appropriate program staff; submitting Federal grant budgets and modifications through Federal grant reporting systems, and preparing grant and contract reports as required by funder.
Completing federal subgrantee activities
This consists of participating in webinars/training of new subgrantees, reviewing and enter subgrantee SMFRs in QuickBooks and on internal spreadsheets, and assisting the Controller in conducting Federal subgrantee monitoring to ensure compliance with applicable grant requirements, terms, and conditions.
Completing payroll processing activities
Payroll processing duties for the Senior Accountant include, but is not limited to, preparing, and processing semi-monthly payroll and internal cash transfer requests, preparing and reconciling disbursement requests for related items such as simple IRA contributions, health insurance invoices, supplemental insurance invoices, dependent care contributions, etc. The Senior accountant is also responsible for reconciling quarterly and annual payroll tax reports and W2 forms, maintaining the payroll system to include adding/deactivating employees, maintaining reporting classes, and maintaining holiday and paid time off hours.
Performing accounts payable activities
The Senior account will performance accounts payable duties including, but not limited to, maintaining vendor files including securing W9 and sending sales tax exemption form as needed, reviewing vendor invoices for completeness/completeness, code and enter into QuickBooks, uploading supporting documentation to Bill.com, preparing AP disbursement report and transfer requests, and maintaining AP invoice and payment electronic files.
Performing month end closing activities
This Senior Accountant is responsible for reconciling bank, PayPal, and credit card accounts, preparing labor distribution report and corresponding journal entries, preparing, entering and submitting customer invoices for contracted services provided, memberships, webinars, proposal reviews, etc., preparing and entering all journal entries and accruals as indicated in the closing schedule, utilizing the journal entry request form as appropriate for one-time or unusual entries. This role is also responsible for reconciling and analyzing balance sheet accounts from trial balance report, reconciling subledgers (Concur, Salesforce, etc.) to QuickBooks, and preparing assigned financial and management reports for review by the Controller.
Other duties
Additional duties of the Senior Accountant include, but are not limited to, reviewing invoices, travel expense requests and payment documentation for accuracy, proper coding and compliance with grant/contract requirements (i.e. Federal hotel and per diem rate policy), monitoring and following up on open accounts receivable balances, maintaining a schedule of agency licenses and renew as needed, assisting the Controller with preparation of annual operating budget, assisting the Controller with annual audit preparation and documentation.

Ideal Experience
- BS/BA in Accounting/Finance required, with 3-5 years of relevant, progressively responsible nonprofit accounting experience in financial reporting and month-end close process
- Minimum of 3+ years of general nonprofit accounting experience with working knowledge of federal grants and regulations specifically with A122 Cost Principles and fund accounting
- Strong proficiency in Microsoft Office, accounting software (QuickBooks preferred) and the ability to quickly learn new support software as needed.
