We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties include providing support to our managers and employees and assisting in daily office needs. The ideal candidate should have excellent oral and written communication skills, the ability to organize their work using MS Excel and Quickbooks, and willingness to work within frequently changing priorities. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
General: Assist the Business Manager to provide support in all facets of administration, accounting, and operations.
Administrative duties include but are not limited to:
- Perform bookkeeping/accounting functions
- Answer and direct phone calls to the appropriate person, taking messages, and answering basic questions.
- Greet visitors, taking their information, and providing them with safety glasses to meet all safety and quality standards.
- Maintain office supplies and equipment inventory.
- File organization and document preparation.
- Assemble production sheets - making inventory adjustments, building assembly items, receive inventory into QB
- Collect and manage incoming mail, email, and other correspondence; responding in a timely manner and/or forwarding to the appropriate person.
- File organization and document preparation.
- Create packing slips, invoices and send to customers; Following up with customers if invoice is past due
- Payroll preparation and attendance tracking.
- Provide employee absent explanations/documentation, Record and track employee PTO (paid time off) available
- Update employee calendars and delivery schedules, assisting in preparation of reports for operations and quality assurance
- Basic data entry tasks as needed.
Minimum Previous Experience:
- Clerical functions
Minimum Additional Training:
- Proficient in using Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Quickbooks is a plus
