About Foundations to Freedom:
Foundations To Freedom is a non-profit corporation, incorporated under the laws of Florida. Foundations' purpose is to provide a safe, comfortable, and nurturing environment for individuals to grow in their recovery and attain a higher level of recovery. Foundations' goal is to instill life skills that will not only help recovering individuals while living in Foundations' recovery homes, but will also be of value when clients re-integrate back into mainstream society.
SERVICES AND JOB DUTIES As a Administrative Assistant, Employee shall perform the following duties and obligations as part of Employee’s employment with Foundations:
a. Providing comprehensive support to the Executive Director and Chief Operations Officer (“COO”), as well as members of the foundation board and leadership association.
b. Manage, coordinate and maintain the operational aspects of the office, ensuring that the office is run in an efficient, responsive, and accurate manner.
c. Coordinate logistics for board meetings, special events, lunches and/or dinners, as well as the president’s daily calendar of activities.
d. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Director, COO and Foundations, including those of a highly confidential or critical nature. Prioritize and determine appropriate courses of action, referral, or response, exercising judgement to reflect the Director’s style and organization policy.
e. Provide liaison role to senior executives that serve on foundation board or leadership association.
f. Ensure a bridge for smooth communication between the Director, COO and grantees that fosters credibility, trust, and support among the team members.
g. Work closely with the director to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
h. Anticipate the Director’s and COO’s needs in advance of meetings, conferences, etc.
i. Proactively manage complex and busy calendars with attention to accuracy and detail including scheduling and coordinating internal and external meetings, conferences, and appointments.
j. Draft, finalize and disseminate professional correspondence, including, but not limited to, emails, memos, letters, policies, and contracts.
k. Manage foundation budget.
l. Organize an annual reporting process for organizations receiving support.
m. Coordinate travel, reconcile and process expense reports.
n. Follow up on contracts made by the director to cultivate ongoing relationships.
o. Collect and prepare confidential meeting materials, reports, and agendas, take notes/minutes for meetings as requested and follow-through with action items.
p. Work in close collaboration with the Director and COO as needed.
q. Manage all aspects of the organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.
r. Assist in onboarding and orientation of new employees, as needed.
s. Track and manage time for non-exempt employees and assist in processing payroll.
t. Assist in collecting and preparing data and reports for yearly audit.
u. Work with the accounting team to process certain accounts payable items.
v. Manage, track, and maintain yearly administrative budget and expenditures.
w. Participate in and assist with events as necessary.
x. Other projects and duties as assigned for the overall benefit of the organization
y. Performing tasks delegated by Employee’s supervisors.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
