Scheduling Assistant
The State of New Jersey seeks a Scheduling Assistant who will schedule meetings, both internal
and external. As a Scheduling Assistant, you will be responsible for managing the daily
schedules and appointments of our executive team. Provides regular and up to the minute
information and reminders regarding schedule with all relevant details. Ensures all meeting
materials are provided to the Principal. Communicate the purpose of meetings, the materials to
be prepared and changes in schedule to both internal staff and external stakeholders. You will
play a crucial role in ensuring that our team operates smoothly and efficiently, allowing them to
focus on their core responsibilities.
Your primary duties will include:
Coordinating meetings, appointments, and travel arrangements for executives.
Managing multiple calendars and prioritizing conflicting appointments.
Anticipating scheduling conflicts and proactively finding solutions.
Communicating effectively with internal team members and external stakeholders.
Providing timely reminders and updates regarding upcoming appointments.
Handling sensitive and confidential information with discretion and professionalism.
SALARY: $65,000- $70,000 depending on experience. This includes a comprehensive benefits
package offered that includes paid vacation, sick, and personal time.
REQUIREMENTS:
Proficiency in calendar management software and Microsoft Office Suite.
Discretion and professionalism when handling confidential information.
EDUCATION: High school graduation or GED completion. Bachelor's degree preferred.
EXPERIENCE: Proven experience as a scheduler, executive assistant, or similar role.
Exceptional organizational skills and attention to detail.
Strong communication and interpersonal skills.
Ability to multitask and prioritize tasks effectively.
