Home Instead is looking for a steady multi-tasker who is dedicated to joining in our mission to enhance the lives of aging adults and their families! The Scheduling Coordinator and Office Assistant role connects our Care Pro workforce with our local Senior Clients and ensures the office runs smoothly and efficiently. This is a full-time position with office hours of 9am-5pm Monday-Friday with on-call required and occasional work outside of office hours.
Responsibilities:
- Reflect the values of DAALD Senior Care LLC (d.b.a., an independently owned and operated Home Instead franchise).
- Create and maintain client and Care Pro schedules, emphasizing high-quality matches and developing extraordinary relationships.
- Design, test, and implement a responsive contingency plan that ensures 100% maintenance of service hours.
- Recognize and capture opportunities to increase service hours while maintaining or enhancing quality care.
- Follow up with all client and Care Pro issues to ensure their problems are resolved.
- Enter and maintain accurate client and Care Pro records and activity in the software system and in office files.
- Aid in the payroll and billing process including recognizing discrepancies, collecting and logging Care Pro activity sheets, and processing invoices for insurance billing.
- Support Marketing and Human Resources efforts within the office.
- Cover on-call at least one day a week.
- Perform various other tasks and functions in support of the overall business as part of the office team.
Knowledge, Skills, and Abilities:
- Must understand and uphold the policies and procedures established by DAALD Senior Care LLC, (d.b.a. an independently owned and operated Home Instead® franchise)
- Must have the ability to work independently, maintain confidentiality of information, and meet deadlines.
- Must demonstrate discretion, integrity, and fair-mindedness consistent with office standards, practices, policies, and procedures.
- Must have the ability to organize and prioritize daily, monthly, quarterly, and yearly work.
- Must have the ability to establish good working relationships with the franchise owner, office colleagues, Care Pros, and the community.
Education/Experience Requirements:
- High school graduation or equivalent; College Degree Preferred
- At least 1 year of experience in Home Care / Senior Care or a related industry
- Strong overall computer skills, including proficiency in Microsoft Word, PowerPoint and Excel
- Experience with the WellSky operating system (Preferred)
- At least one year of billing and payroll experience (Preferred)
- NJ CHHA License or willing to obtain (Preferred)
