Position Summary

The incumbent is directly involved in work assignments and projects in support of the RN-to-BSN and MSN programs and their coordinators. Under general direction, the incumbent is responsible for the administrative flow of all programs in the School of Nursing and provides lead work to others in a variety of technical and clerical duties in support of the day-to-day functions of the School of Nursing. The incumbent is responsible for the coordination and performance of the full range of the clerical and Administrative Support functions for the academic programs within the School of Nursing. Responsibilities may include providing training to all levels of staff and student assistants in standard office procedures. The incumbent is fully accountability for work flow and completion of work for the assigned support staff.

The incumbent is involved with knowing, understanding, interpreting, and following complex policies, procedures, and regulations as they pertain to students, the University, and nursing regulation and accreditation. This includes compiling data, analyzing the data, and creating standard reports and providing data for School surveys and reports.

This position encompasses responsibilities which serve to complement and back up the AA/S and the Chairperson in performing administrative functions of the School.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $3681 per month - $4268 per month

CSU Classification Salary Range: $3681 per month - $6034 per month

Department Information 

The School of Nursing prepares students and working professionals to take on many roles in the field of nursing. The School offers both a traditional Bachelors of Science and various tracks to nursing professionals who wish to advance their career.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. This position may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 

1. Experience in Administrative Support areas. Job experience that confirms the ability to work independently, exercise sound judgement, problem solving, and decision making.

2. Excellent verbal, written, organizational, analytical, and web communication skills. Ability to draft and compose correspondence and standard reports. Thorough mastery of English grammar, punctuation, and spelling.

3. Experience with customer service / people skills. Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.

4. Expertise in using office software packages (e.g. Microsoft Office Suite), technology, and systems and with all levels of word processing and computer data entry, analysis, and update.

5. Proficiency working with school-based records / data systems / software (e.g. PeopleSoft, CMS, OnBase, and Cognos).

6. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.

7. Ability to independently prioritize, plan, and organize work in a fast-paced environment with multiple interruptions.

8. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

9. Aptitude to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.

10. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.

11. Ability to independently handle multiple work unit priorities and projects which could include the coordination of others.

12. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.

13. Ability to independently apply a wide variety of policies and procedure where specific guidelines may not exist.

14. Working knowledge of budget policies and procedures.

15. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.

16. Capability to monitor, and provide Work Lead direction and feedback.

17. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

CONDITIONS OF EMPLOYMENT

Ability to successfully pass a background check.

Preferred Qualifications 

18. Extensive knowledge of the programs and the regulatory agencies with which the programs must comply; regulations of the state and national accrediting bodies (i.e., Board of Registered Nursing, CCNE).

19. Comprehensive and detailed knowledge of the policies, services, practices, procedures, activities, timelines, programs, and organizational structure of the School of Nursing. Ability to evaluate these and make recommendations related to operational and procedural matters.

20. Ability to work with diverse population groups and understand the educational, cultural, and financial issues facing those populations 21.Ability to lead training and staff meetings to assist with bringing changes in procedure to help streamline staff and faculty workloads and develop practical, thorough, and creative solutions to problems.

22.Demonstrated experience in the coordination of entire clerical and Administrative Support functions and / or program office, and / or in a higher-level administrative office.

23.Ability to participate in and manage large scale, complex projects with broad, visible impact that involves coordination with other departments.

24.Ability to perform independently under general direction related to goals.

25. Completion of community college education.
