MW Polar Foods is currently recruiting a Receptionist/ Office Assistant. We are ranked #3 after Dole and Del Monte in canned fruit business. You will learn from all aspects of the business working with other team members. A detail-oriented, self-motivated and a good team player is preferred.
Position Summary
Receptionist/ Office Assistant will perform clerical and administrative supports to various departments in the Company.
Job Duties
- Answer, screen and forward incoming phone calls
- Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Receive, sort and distribute daily mail / deliveries
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms and brochures)
- Plan and schedule appointments and company events
- Perform other clerical receptionist duties such as filing, photocopying, binding and faxing
- Track shipments and assist with packaging, shipping (FEDEX and UPS)
- Maintains various company log books (technician attendance, service orders, mail logs, etc.)
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies
- Process ecommerce orders, such as Amazon vendor, Amazon seller, Walmart Marketplace, Shopify, etc…
- Detailed maintenance and improvement of listings (title, description, images, reviews, prices, product specs, customer questions, etc.)
- Assist consumer relationship department on responding and addressing consumer concern and inquiries
- Performs other duties, tasks or projects as requested and assigned by supervisor or management
Requirement
- Detail-oriented, self-motivated and able to respond quickly to a fast-moving and ever-changing environment
- Ability to relate and communicate across all levels in the organization
- Ability to prioritize job functions to meet deadlines and ensure smooth workflow, and to handle multiple tasks simultaneously.
- Solid PC operational knowledge related to MS Office Suite, including Word, Excel and Outlook are required
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Prior experience in with ecommerce platforms, especially Amazon Seller Central/Vendor Central a plus
- Hands-on experience with office equipment (e.g., fax machines, copy and printers)
- Positive customer service attitude
- High school degree, college degree preferred
- Bilingual in English and Spanish preferred
