Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, taking messages when necessary
- Maintain regular communication with clients, providing updates on their cases and addressing inquiries promptly
- Manage calendars, schedule appointments, and coordinate meetings
- Assist with project coordination and follow-up on action items
- Perform general clerical duties such as data entry, filing, and photocopying
- Maintain office supplies and equipment inventory
- Handle incoming and outgoing mail and packages
- Ensure the reception area is clean, organized, and presentable
Qualifications:
- Proficient in using Google Suite (Docs, Sheets, Slides, Gmail)
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent clerical skills with attention to detail
- Professional phone etiquette and strong communication skills
- Computer literacy with knowledge of MS Office applications (Word, Excel, PowerPoint)
- Experience in calendar management and scheduling appointments
- Ability to coordinate projects and work collaboratively with teams
- Familiarity with phone systems and handling multiple lines
- Oversee legal software platforms such as Lawmatics and WealthCounsel. Ensure accurate data entry, generate reports, and manage client and case information.
- Previous experience working at a front desk or in a similar administrative role is preferred
