Job description

Kay Properties is seeking a full time, on-site Receptionist / Office Assistant for our modern new office building in Torrance, CA.

The Role:

This support position will provide administrative support across all areas of the business. Operating from the front desk, this position manages the day-to-day activities of various departments including Operations, Marketing and Facilities. The ideal candidate is a dependable, independent, proactive self-starter who enjoys variety in their work and working alongside a focused results driven team.

Responsibilities:

  • Manages all office and building maintenance including general upkeep and cleanliness of the office, light cleaning of dishes
  • Maintains inventory, orders and replenishes pantry and office supplies, etc.
  • Straightens desks and furniture, watering plants, and ensures shared workstations and common areas are tidy at all times
  • Orders weekly office lunches and handles set-up and clean up
  • Greets and assists office visitors with high level care and service
  • Ensure the conference room is booked appropriately as well as ensures that the conference rooms are tidy and technically capable
  • Assists with light technical help with office technology such as Zoom and GoogleMeet
  • Assists with onboarding of new employees (sending welcome packets and swag, laptop set up, email or calendar assistance)
  • Prioritizes inquiries and requests while troubleshooting conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements
  • Maintain inventory of print material & process a high volume of marketing fulfillment requests
  • Communicate with the Sales Team and Management on the status of fulfillment requests
  • Place orders for investor gifts and help research marketing products
  • Prepare, pack, label and mail high volume of materials to investors throughout the US
  • Support other projects and initiatives as assigned including database support and data entry; fulfillment reporting
  • Assist with general office organization, tidiness and supply management
  • Provide reception and phone support for incoming visitors, package deliveries and inbound phone calls
  • Must be able to lift up to 30lbs.
  • Assists in planning, arranging and executing on quarterly team building activities, happy hours, and holiday parties in service of creating a lively, fun, welcoming culture
  • Supports the coordination of investor dinner by managing RSVPs, confirming reservations as requested.
  • All other administrative duties including reporting, research and other ad hoc projects as assigned.

The Ideal Candidate:

  • Possess a strong level of autonomy and adaptability
  • Is highly skilled at organization and prioritization
  • Demonstrates excellent customer service on the phone and in person
  • Takes Initiative and is intuitive in calendar management
  • Has expert proficiency with Microsoft Office, and Google suite; with the ability to design and edit graphic presentations and materials
  • Will be technical proficiency and have basic problem-solving skills related to IT infrastructure; IT support and troubleshooting
  • Has strong verbal and written communication skills
  • Has exceptional organizational skills and impeccable attention to detail
  • Has a high degree of professionalism dealing with a diverse group of people, including customers, vendors and staff
  • Has the ability to complete a high volume of tasks and projects with little or no guidance
  • Will have the ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround, with the ability to shift gears quickly based on changing priorities
  • Will be able to maintain a high level of integrity and discretion in handling confidential information
  • Has significant executive and/or administrative support experience, including supporting C-level executives
  • Has 3-5 Years of experience in Administrative Assistant and or an Office Manager/Facilities role
  • Flexibility to work additional hours during peak times
  • Demonstrate use of technology platforms and general technical knowledge
  • Must be able to take direction, clarify if uncertain of request, and make appropriate notes to understand and appropriately respond to the companies business needs, and interface effectively and/or collaborate with others;
  • Demonstrate excellent interpersonal skills to build relationships with others

Desired Education and Qualifications

  • College degree or Associate's degree preferred; High School diploma is required
