Office Assistant will help with most general office functions and provide exemplary customer service to Agent for Montana Titles’s customers. Provides quick, accurate, and comprehensive responses to customers and prospects. Performs a variety of duties to process customer orders and help the business provide quality customer service. This role provides a variety of support activities to help the business day to day efficient functioning. This position may be trained to assist with vehicle registrations, renewals, and related documents that are required in the State of Montana for processing.
Duties and Responsibilities:Filing, answer phones and assists customers with questions and requests, take messages as needed for other staff, process and scan documents and mail. Other duties as assigned.
Track Incoming mail from customers and outgoing mail.
Perform scanning of titles and customer paperwork as needed.
Scanning to compose emails and create master spreadsheet.
Other duties As assigned:
Assist customers with issues or complaints and resolutions. If unable to resolve brings to Operations Manager to resolve.
Assists with supplies. equipment, and other items needed for the business to operate.
Assists with invoicing and other fiscal functions when needed.
Cross trains with other roles to be able to perform functions that must be continued in temporary absence of other personnel.
Other duties as assigned.
Knowledge, Skills, Abilities:
Basic customer service knowledge and experience
Ability to communicate clearly, both verbally and in writing
Has a professional, pleasant, patient, and friendly attitude
Ability to be detail oriented and follow established workflow systems
Ability to work independently and problem solve, know when to ask others for assistance
Reliable and consistent attendance and work performance.
Experience with Microsoft office software systems.
Experience with Mac operating systems and QuickBooks preferred.
Ability to keep customer information secure and confidential
Ability to be trusted with fiscal accounts, access to post office box, and other important company property.
Willingness to take on new tasks and duties, learn new systems to support business functions and effectiveness
Minimum Qualifications (Education and Experience):
A high school diploma or GED equivalent is required. One year of administrative assistance or customer service is preferred.
Physical Environment and Demands:
Work is performed in an office setting sharing space with other employees. Work performed on a Mac Computer, basic office equipment and on a phone. Scheduled hours are flexible and range from part time to full time but generally occur during regular hours of operations.
