Administrative Assistant
This is a hands-on, people-oriented position responsible for answering phones and providing customer service to our guests in an office setting. Through a calm and professional disposition, the part-time Administrative Assistant and Receptionist can effectively listen to concerns, resolve issues and/or appropriately escalate for problem resolution. To be successful in this position you seamlessly adjust your day to sudden changes in priorities and work both independently and collaboratively to find solutions, and to service our guests. You are dependable, reliable, and enthusiastic about working in an office environment on location.
General Duties and Essential Functions
- Dependably and reliably answers inbound phone calls and effectively applies experience in all areas of office telephone use and demands throughout the day.
- Appropriately responds to customer inquiries in a clear and pleasant manner.
- Diffuses concerns or issues by effective listening and responding in a professional and calm demeanor.
- Applies understanding of Hathaway’s services to answer questions or redirect calls appropriately.
- Effectively and comfortably uses electronic communications such as email and/or IM while responding to inbound calls.
- Uses MS Office and other relevant tools with confidence and at a highly proficient/advanced level (MS Word,Excel).
- Effectively and efficiently writes documents and memorandum for internal and external correspondence.
- Uses other technologies/tools and resources to capture images; familiarity and use of text, search engine resources.
- Maintains organized office, creates files and order supplies monthly, and as needed and required.
- Drives to other Hathaway locations from time to time where work dictates.
- Other duties as needed to support the company.
Education
- Associate/bachelor’s degree or relevant course work; or Equivalent work experience.
Physical requirements:
- Physical requirements include range of motion such as walking, climbing to include steps, bending; lifting of supplies and equipment up to 25 pounds independently; hand and finger dexterity for phone operations, texting, typing, use of other technologies and devices; other tools may apply, this is not an exhaustive list.
Other Requirements:
- Dependable transportation a must.
- Advanced speaking with fluency and writing in the English language.
- Business dress code required.
