ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Be the Bank's first point of contact to meet, greet and assist visitors, vendors and job applicants.
  • Answer and direct all incoming calls to the proper recipients.
  • Sort and distribute incoming deliveries, e.g., FedEx, UPS, food, flowers, office supplies, etc., and ensure timely processing of outgoing items.
  • Log in all visitors, provide security badges and/or arrange for an escort as appropriate, and send vendor-onsite security messages to the Security and Facilities team as required.
  • Maintain the cleanliness and appearance of the reception area.
  • Process the daily incoming Facilities' invoices for approval/payment by assigning RC and GL codes, obtaining approval by the Facilities VP and Finance SVP, making and filing file copies, and delivering the completed packages to Accounting.
  • Process Journal entries for weekly reconciliation of Facilities debit/credit card purchases.
  • File and log EAR forms as needed.
  • Help ensure the Facilities team stays informed of significant events, office requirements, etc.
  • Provide additional administrative support including:

    • Organize and update all Salem Five vendors' Certificates of Insurance.
    • Coordinate the Bank employee parking program by obtaining and distributing parking passes, and processing all related employee credit card transactions.
    • Coordinate and/or assist on special projects such as the holiday currency card program, holiday decorations (at all Salem Five locations), and Facilities departmental luncheons.
    • Create and/or update signs, labels, visitor tags, spreadsheets, templates and surveys.
    • Ensure adequate departmental office supplies are generally available and arrange for reordering as necessary.
    • Perform additional related administrative duties as requested.

  • Demonstrates compliance with banking business laws and regulations as defined in company policies and procedures pertinent to the position.
  • Regular attendance is essential to this position.
  • Assume additional responsibilities as requested.

EDUCATION and/or EXPERIENCE:
High school diploma or General Education Degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. Also required are demonstrated Microsoft applications skills (Outlook/Word/Excel), verbal/written communication skills, ability to perform effectively in an environment where confidentiality, maturity, sound judgment, initiative, and professionalism are required. Must have the ability to multitask, be detail oriented, and ability to follow security procedures.
