Receptionist

Job Overview:
We are seeking a professional and organized Receptionist to join our team. As our company's first point of contact, you will play a crucial role in providing excellent customer service and creating a positive impression for our visitors and clients. The ideal candidate will have strong organizational skills, be proficient in office management tasks, and possess excellent phone etiquette.

Responsibilities:
Essential Duties & Responsibilities:

· Greets clients, visitors, and guests in a warm, friendly manner; determines the purpose of each person’s visit and notifies appropriate company personnel of visitor arrival.

· Answers, screens, and directs phone calls to employees in a polite manner; takes messages where necessary.

· Ensures reception and common areas are tidy and presentable

· Restocks supplies such as coffee stations and printers on a daily basis

· Maintains office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

· Processes outgoing mail

· Assembles documents for scanning

· Scans, verifies, and uploads documents into databases.

· Reviews information provided by the customer and entered by the shipping department and verifies accuracy.

· Verifies customer and order information for correctness and efficiently enters this information into software to generate necessary shipping paperwork.

· Reviews orders for completeness according to stated procedures and forwards incomplete orders to the accounts receivable supervisor for review.

Skills:
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask effectively
- Exceptional phone etiquette and customer service skills
- Proven ability to handle confidential information with discretion
- Detail-oriented with excellent time management skills
