SUMMARY
This full-time position is to provide receptionist services between the Berkeley 2000 Recreation Center in Martinsburg, WV (main location) and the W. Randy Smith Center, located in Inwood, WV.
ESSENTIAL DUTIES AND RESPONSIBILTIES include the following:
- Greets customers and clarifies customer needs. Provides solutions and support to the customer. Has the ability to deal effectively with difficult customers.
- Answers telephone in a timely and professional manner.
- Provides information to callers, as well as directing calls and messages to the appropriate persons.
- Prepares correspondence and documents to include photocopying and filing all documents.
- Assists in monitoring and maintains office equipment and must maintain a clean and professional work environment.
- Responsible for reservations for facility rentals includes taking reserving, collecting monies, and notifying all persons to update. i.e., calendars.
- Receives and completes registration for programs, leagues, and activities through recreation software.
- Prepares daily bank deposits.
- Responsible for maintaining policies and procedures for operations of office.
- Keeps Office Manger abreast of changes so staff can more efficiently answer inquiries.
- Provide effective communication both orally and written; capacity to understand and follow oral and written orders.
- Provides assistance to the Executive Director, Recreation Services Manager and Office Manager as requested.
- Must keep up to date on training for recreation software, office equipment and MBCPR policies/procedures. Keep informed of changes in information, technology, software, and other methods that have potential for improving services and productivity.
- Adapts to workload and accepts additional responsibilities (draft deadlines, seasonal and special events) as assigned by the Office Manager.
SUPERVISORY CONTROLS
Reports to Office Manager. Position will require minimal supervision to complete routine, recurrent duties. Will show willingness and initiative to perform other duties to assure smooth operation of the agency. May also be required to assist during seasonal and special event activities.
PROVIDING DIRECT PATRON SERVICES
Routinely identifies patron concerns or suggestions and works to resolve them. Follows up as necessary to ensure a mutually satisfactory resolution. Listens to all patron feedback, positive and negative, acts to resolve complaints within his/her control and will report feedback to supervisor in a timely manner. In the provision of services to patrons, youth through adult, will recognize the age-related requirements and demonstrate knowledge and the needs appropriate to that age group.
COMMUNICATION – VERBAL AND WRITTEN
Relationships with supervisor, co-workers, and others within the organization must contribute to the effective operation of the agency. Performance must demonstrate the ability to adjust to change or work under pressure in a pleasant and courteous manner, handle differences of opinion in a businesslike fashion, follow instructions conscientiously, and function as a team member, helping the group effort.
WORKING CONDITIONS AND PHYSICAL DEMANDS
Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 25 lbs.).
This individual should be creative, energetic, and highly motivated as well as organized and able to prioritize workload; must be able to communicate well with all aspects of the department and the public; must be computer literate. A valid driver’s license and satisfactory driving record are required.
EDUCATION AND/OR EXPERIENCE
High school graduate or G.E.D. equivalent is required.
