Scheduler/Receptionist – Midtown IM Clinic

Clinic Hours: Monday-Friday; 8am-5pm (Fri closed 12-1) Positions Supervised: None
Work Schedule: Monday-Friday; 8:00am-5pm* or 8:30am-5:30pm*
*Team members alternate arrival times and lunches to provide continuous coverage throughout the day and may incur occasional overtime
POSITION SUMMARY
First point of contact for patients arriving at the Midtown Internal Medicine Clinic. Responsible for all check-in and check-out processes of patients. Will schedule all in-house appointments, tests, and procedures for patients in office and over the phone.
ESSENTIAL FUNCTIONS
- Answers phones on all incoming lines.
- Schedules all appointments for Clinic, including office visits, hospital follow-up visits, in-house tests, procedures, and procedure follow-up visits as directed.
- Monitors and maintains patient bump list and messenger logs.
- Registers new patients and maintains established patients’ demographics.
- Obtains copies of insurance cards annually and verifies at each visit.
- Performs insurance verification and obtains insurance referrals as needed.
- Ensures primary care doctor is listed correctly in patient information.
- Arrives patients in EMR and checks out after visit completion.
- Processes patient payments.
- Performs daily balancing of payments posted in office.
- Sorts and distributes all incoming mail on a daily basis.
- Distributes patient medication lists, samples, paper scripts, completed forms, and other items as directed.
- Requests new patient records for upcoming appointments.
- Assists leadership team with workflow processes to ensure efficient operations.
- Participates in clinic process improvement activities and team meetings to ensure efficient operations.
- Understands and follows all HIPAA guidelines and procedures.
- Is courteous, helpful, and decisive in handling messages accurately and in a timely manner.
- Navigates the electronic medical records program accurately and efficiently.
- Assists with scanning and indexing of documents into the EMR as needed.
- Reliable Attendance and Punctuality.
- Performs other duties as assigned.
Education: High School Graduate or General Education Degree (GED)
Experience: One to two years related experience
SKILLS & ABILITIES
Computer Skills
One to two years experience with Microsoft software.
One to two years experience with electronic medical records and practice management software.
Previous electronic scheduling required.
Other Requirements
Ability to work with all types of people over the phone and in person. Ability to feel comfortable asking people for payments and personal information. Handles upset patients and shows ability to diffuse the situation, calm the patient, and manage the relationship with the patient. Must be able to communicate effectively with patients, staff, residents, physicians, and other visitors.
WORK ENVIRONMENT
Work is performed in a clinic environment. Will have constant interaction with patients either in person or over the phone. Build relationships with staff, physicians, and residents. Views computer screens for long periods of time.
