Job Description
Ultimate Staffing is seeking an onsite Receptionist for a Burlingame, CA-based mid-sized law firm that specializes in sophisticated estate and tax planning, estate administration, and trust and estates litigation. The Firm is seeking an experienced full time Receptionist to help support the office in the day-to-day workings of the Firm.
The successful candidate should have at least 1 year of receptionist experience. Candidates must be organized, efficient, and detail-oriented, with the ability to prioritize daily tasks. Candidates are expected to help organize and streamline efficient Firm business practices.
Job Responsibilities:
- Welcoming clients and visitors upon arrival at reception.
- Answering, screening, and forwarding phone calls in a professional manner.
- Assisting clients and visitors with the location of legal staff.
- Scheduling and confirming appointments.
- Setting up conference rooms for client meetings, including setting up Zoom meetings for remote clients and associates.
- Preparing meeting facilities, and arranging refreshments, if required.
- Disinfect & wipe down conference rooms after client meetings, common areas & breakroom.
- Observing business etiquette and maintaining a professional appearance.
- Directing the flow of mail, faxes, and deliveries to reach the intended recipients, including driving to deliver certified mail to USPS or Fed Ex.
- Sort and distribute mail and packages
- Metering outgoing mail
- Prepare certified receipts
- Prepare packages for pick up
- Ordering and replenishing office supplies, including food and beverage items for the office kitchen, and upkeep of kitchen. May need to lift 10-20 lbs. of supplies when replenishing.
- Assisting with copying, scanning, faxing, emailing, and note-taking.
- Maintaining and updating the library of legal reference texts and maintaining front desk manual.
Required Qualifications:
- High School Diploma or GED.
- At least 1-year prior experience as a receptionist.
- Exceptional interpersonal and communication skills.
- Experience working with word processing, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
- Salary Range:
· $20 -$28 an hour based on experience temp to perm
