Position Overview:
We are looking for a friendly and organized receptionist who can manage various tasks with ease, from greeting visitors to handling phone calls and data entry. You'll also assist with invoice processing, payment collection, and ensuring excellent customer service follow-up. Proficiency in Outlook and Excel is essential, and we value strong communication skills and a knack for problem-solving.
Job Duties:
- Manage a multi-line phone system, handle calls, and direct inquiries to the appropriate department or individual.
- Welcome visitors and address both routine and complex queries effectively.
- Coordinate appointments as necessary.
- Input new job details into the ServiceMaster CRM, ensuring accurate capture of customer and job information.
- Utilize personal computers and relevant software packages proficiently.
- Demonstrate understanding of ServiceMaster operating systems and our range of services.
- Notify staff of visitor arrivals promptly.
- Oversee timekeeping responsibilities.
- Perform data entry tasks efficiently.
- Handle accounts receivable/payable processing.
- High school diploma/GED.
- Proficiency in Microsoft© Office applications (Word, Outlook, PowerPoint, and Excel).
- Comfortable with various software platforms.
- Strong personal time management and organizational skills.
- Excellent verbal and written communication abilities.
- Reliability and adaptability in fast-paced environments.
- Discretion in managing highly sensitive information.
- Effective multitasking capabilities.
- Experience in copying, filing, and maintaining documents in both paper and electronic formats.
- Move up to 20 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.
- Sitting for long periods of time while using office equipment such as computers, phones etc.
- Repetitive motions, such as movement of wrists, hands and fingers while picking, pinching, and typing during your normal working environment.
- Be exposed to various inside working conditions: The change of building environment such as with or without air conditioning and heating.
