Publications Clearance Program Assistant

Insignia Federal Group is currently currently seeking an experienced Program Assistant to provide Publications Clearance support services to a military research program. The ideal candidate will have a strong organizational background, be proactive and collaborative, and have a demonstrated ability of record management.
In this role, the successful candidate will:
· Manage daily operations of Department programs. Operations include: (1) coordination of weekly training programs; (2) reserving and preparing training rooms and training materials; (3) disseminating invitations to investigators and research personnel and prepare completion certificates; (4) providing internal quality improvement initiatives; (5) tracking and managing correspondences and databases; (6) ensuring forms and submission packages are complete and accurate; and (7) preparing monthly and periodic status reports.
· Perform regular, occasional, and periodic assessments to ensure that policies and instructions are updated. Conduct daily audits of databases (via SharePoint/Share Drive) to ensure accuracy of information, to follow up on outstanding issues and to identify and resolve problems.
· Prepare monthly and periodic status reports and provide tracking, administrative support and coordination for research documents.
· Other administrative tasks include: (1) preparing briefing packages for upper-level management; (2) creating and maintaining the Standard Operating Procedures (SOPs); maintaining compliance with local, federal, and state requirements; (3) maintaining and acknowledging electronic messages and correspondences within the various programs; and (4) performing other research support tasks as assigned that is within scope of this PWS.
Required Qualifications:
· Ability to successfully undergo a background investigation that requires U.S. citizenship.
· Minimum of an Associate's Degree in any field of study or at least three years of experience with management and administrative services. Established professional knowledge and skills specified to the subject matter.
· Knowledge of coordinating regular, occasional, and periodic assessments to ensure that policies and instructions are updated; maintaining easily accessible files and tracking systems for publications submission packages and ending with final professional publication/presentation; conducting audits of databases to ensure accuracy of information; and other information products.
· Ability to demonstrate administrative/project management support services for utilizing the tracking sheet, routing copies, notifications of project status and assist with internal quality improvement initiatives.
· Demonstrated written and oral communication skills.
· Demonstrated ability to work independently and as a team.
· Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint software.
· Knowledge of general office machines and telephone system.
· Experience with customer service operations.
· Typing skills with at least 50 WPM.
Desired:
· Interest, knowledge, or background in the military and/or medical research field is a plus.
· Previous federal background investigation or clearance highly desirable

Pay: $55,000.00 - $60,000.00 per year
