Job Summary
The Property Manager is fully accountable for all day to day property operations in compliance with
company policies and procedures and all applicable Federal, State and local laws and housing
programs, including but not limited to Equal Employment Opportunity, Fair Housing and Human Rights
statutes. The Property Manager is also responsible for the management, supervision, and
professional development of all direct reports and for overseeing and enhancing the value of the
property and achieving stated financial results and operating objectives.
Skills
Position requires a strong knowledge base in property management to include leasing, marketing,
operations and maintenance. Position also requires good verbal and written communication skills,
strong organization skills, attention to details and accuracy, ability to manage multiple
priorities and ability to meet stated deadlines. A strong sense of ownership is also necessary to
achieve the desired results.
Duties & Responsibilities
Personal
- Assure that the environment of the properties reflects the philosophy of the company.
- Model mission and values of UDC.
- Promote company at all times.
- Project a professional image in all aspects of work performance, which includes, but is not limited to personal habits, demeanor, appearance, and attire.
- Meet company standards on conduct, attendance, etc.
- Demonstrate good communication skills and help ensure positive communication with community,
- agencies, owners, staff and residents.
Supervisory
- Hire, train, supervise, develop, and terminate the employment of supervised site-level employees in accordance with company policies and directives under direction of the Regional Property Manager.
- Perform performance evaluations on supervised employees.
Financial
- Demonstrate the ability to understand financial goals and operate the property to achieve stated financial goals.
- Maintain accurate records of all community transactions and submit on timely basis (i.e., rent rolls, delinquency reports, move-in/move-outs, etc.).
- Prepare annual budgets and income projections in a timely and accurate manner with support of the Senior Property Manager and/or Regional Property Manager.
- Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner and in compliance with company policies and procedures.
- Generate necessary legal action, documents and process in accordance with State and company guidelines.
- Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
- Ensure that A/P invoices are submitted for payment and approval to meet payment deadlines.
Operational
- Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
- Confirm all leases and corresponding paperwork are completed, input into and copies attached to the property software accurately and on a timely basis.
- Ensure current resident files are properly maintained and all administrative paperwork is accurate and complete.
- Ensure property is rented to fullest capacity while balancing occupancy goals and market rent objectives.
- Utilize company approved marketing strategies to secure prospective residents.
- Continually monitor and analyze traffic logs, budget guidelines, renewal information, marketing data, etc., to be able to give up-to-date and proper information when requested by others.
- Deal with resident concerns and requests on timely basis to ensure resident satisfaction with management.
- Develop and/or implement resident retention programs (i.e., resident functions, special promotions, monthly newsletters, etc.).
- Ensure distribution of all company or community-issued notices (i.e., bad weather, emergency, etc.).
- Plan weekly/daily office and maintenance staff schedules and assignments.
- Maintain community appearance and ensure repairs are noted and completed on timely basis. This requires regular property inspections and tours.
- Ensure that market ready apartments are walked after the unit is turned and before tenant move in and communicate any service-related needs to maintenance.
- Ensure that all service requests are recorded, communicated appropriately to maintenance and completed in a timely manner and to tenant’s satisfaction.
Other
- Learn and ensure compliance with all company, local, state and federal safety rules.
- Learn and ensure compliance with the company lease and the state-specific Landlord Tenant Act.
- Perform other duties as necessary as directed by the Senior Property Manager and/or Regional Property Manager.
