Project Coordinator Position Summary

The Project Coordinator is a critical role that provides administrative support to the Project Operations Department as a whole. This group of professionals includes the President, Construction Operations Director, Project Managers, Project Architects and Designers. Transitioning priorities, managing deadlines, schedules, and contract needs, while also providing a high level of data entry accuracy in inventory management.

Project Coordinator Essential Functions

· Maintaining the integrity of the data for Project Operations.

· Responsible for maintaining an accurate inventory control of the MPS product line.

· Collaborating with Project Superintendents to maintain the accuracy of inventory for MPS, (tracking and ordering supplies as needed), while procuring accurate controls for detecting shrinkage.

· Working with various Subs and Vendors

· Maintaining Licenses

· Manage projects within ProCore software system and others as needed, with accuracy, effective organization, thorough follow up, and place a high priority on time-sensitive needs.

· Coordinating effectively with Superintendents for utilization of the Infection Control and Edge Guard products

· Create Subcontracts, Purchase Orders, Project Operations reports, and Change Orders (as well as RFIs and Submittal processes) as requested by PMs in a time-sensitive manner.

· Track and manage the Superintendent Calendar and ensure timely receipt of executed Contracts and change orders as well as up-to-date Certificates of Insurance and W9s from Subcontracts

· Ensure consistency of data between ComputerEase (or other accounting software programs) and ProCore at all appropriate levels, including (but not limited to) the Accounting Department

· Maintain and audit excel programs to include (but not limited to) the Sub CO Log, Contingency balances, Purchase Orders and Change Orders, and Inventory Controls

Project Coordinator Qualifications:

· Bachelor’s degree in business or related field.

· 2 – 5 years' experience in the construction industry.

· Execute important levels of data accuracy within all software programs related to Project Operations.

· Strong diligence.

· Proficient with Microsoft Office Suite products including MS Project.

· Experience with Pro-Core preferred.

· Proficiency in communicating as an ambassador of the company both internally and externally with Clients, Vendors, Subcontractors, and other Stakeholders.
