What You’ll Do as the Project Coordinator
Under the direction of the Project Management Leader, the Project Coordinator will oversee and facilitate the installation of equipment and components for specified projects to ensure their territory hired contractors are fulfilling all obligations. Additionally, ensuring that work is carried out according to approved contracts, specifications, and schedules. Serves as a liaison with the customer project management teams, reporting on site and project progress and delays. Proactively works to resolve any site issues that may delay project completions, with assistance from Project Specialist.
Key Responsibilities
- Coordinate turnkey installations of Zero Zone display cases, ZZ systems, competitor walk-ins, competitor cases, evaporators, condensers, Energy Management Systems, and Electrical.
- Screen and authorize installation and warranty contractors.
- Work with Account Managers to negotiate installation service agreements with regional and national installation companies and networks.
- Negotiate and authorize related installation and service invoices
- Supports internal accounting and sales team in daily program management activities
- Hire and schedule installations for turnkey accounts
- Work with Refrigeration Contractors, General Contractor, Electrician, Project and Construction Managers to maintain install schedule.
- Review post installation checklists, & photos, and approve payment once complete and approved.
- Report on installation metrics including, failures, component issues, and on-site delays.
- Root cause analysis and corrective action of problem areas during installation.
- Create installer Scope of Work (SOW), checklists, and training presentations, revising as needed.
- Create, maintain, and revise as needed, department processes and procedures.
- Perform training webinars
- Assist Marketing to create and distribute installer technical bulletins related to spec and feature changes
- Create and/or manage internal change requests/orders
- Perform periodic on-site installation audits
- Submit monthly progress and status reports
Experience
- Basic knowledge of Microsoft/Outlook/Teams to execute daily Installation Coordinator duties and standard work with little to no assistance, occasionally directed in some aspects of their work.
- IFS or other ERP system knowledge preferred.
- Basic knowledge of Program Sales accounts to execute daily Installation Coordinator duties and standard work.
- Two or more years of customer service, project management or related experience preferred. Good understanding of basic accounting functions (i.e.: AR/AP)
