Job Description
Summary/Objective
The Project Coordinator position, under limited supervision, performs inspections, takes photos, prepares reports and estimates, and relays information regarding maintenance from turn overs, remodels, and general maintenance requests. This position acts as a liaison between field maintenance technicians and the maintenance coordinator (supervisor).
Essential Functions
Key: (MC) - Maintenance Coordinator [direct supervisor], (MT2/1) - Maintenance Technician Level 2 or 1, (LS) - Leasing Specialist, (PC) - Project Coordinator
· Direct field assistant to MC, liaison for MT2s/MT1s (equal position to MT2s unless appointed to be a lead MT2 in a special circumstance by MC). MC is direct supervisor.
· Works directly with LS to provide a fully documented and detailed move out inspection and quote for repairs.
· Works directly with MC to provide field knowledge of both routine repairs and turn over projects. Provides timeline and daily updates to GM and MC for ongoing turnovers or large-scale property repairs/remodels and quotes.
· Provides quality assurance after large scale projects or turn overs are completed to ensure new tenants are moving into a rent-ready property. Completes a physical inspection of properties after a turnover or large-scale repair/remodel job is completed.
· Collects dimensions and scope of work required on turnovers, large scale repair or remodel jobs to finalize quotes, gives to MC (MC sends quote to owner of property for approval).
· Once approved, PC schedules MT2s/vendors for turnovers or large-scale projects. Communicates actively with MC for unforeseeable damages or add-on miscellaneous repairs or upgrades. (MC requests approval and reports back to PC)
· Works directly with MT1s and MT2s to ensure they have items they need, are held accountable with MC, and informs MC of any issues or ideas that could enhance the client experience, make MT1/MT2s safer, or identify areas that could use additional training/outsourcing, etc.
· Acts as a liaison between field and office employees to ensure a smooth transition between departments.
· Provides technical feedback to MC regarding MT1/MT2 job knowledge, strengths, weaknesses, abilities, and incapability observed in the field or verbally communicated. Informs MC when workload may be too great, can also act as an MT2 Lead in special circumstances (seasonal overload, job requiring additional knowledge/daily, hands-on guidance, etc.)
· Assists MC with monthly meetings by providing feedback on items needed in the field, workloads, etc.
· Holds weekly tailgate meetings with each MT1/MT2 to assess workload, field knowledge, expectancies, etc. and plan week to come. Reports debriefing back to MC.
