Job Description
GEI Consultant’s Chicago office is seeking a full time Project Assistant to support GEI project teams in delivering excellent work products to our clients. The Project Assistant will work closely with Engineering/Science Leaders, Project Managers, and Technical Staff to ensure non-technical project requirements are current.
Essential Responsibilities & Duties
- Provide project assistance to Project Managers, including preparing and maintaining financial management spreadsheets, data management and other areas of support
- Position requires being present in the office four days per week.
- Processing of project registrations, budget change forms, lien waivers and certificates of insurance
- Supporting project managers with invoicing tasks, Health and Safety requests, QA/QC, accounts receivable, ordering project supplies, ordering field clothing.
- Work with Branch Manager and Project Managers to complete quarterly forecast.
- Work with Project Managers to update client resource management system.
- Provide assistance to Project Managers’ client and vendor required portals to enter or access data.
Minimum Qualifications
- Associates or Bachelors degree (accounting or business administration preferred) or equivalent experience. Engineering professional services experience is a plus.
- General knowledge of Architecture Engineering & Construction (AEC) industry, understanding of professional services, billing processes, basic accounting
- Strong organizational and analytical skills with attention to detail.
- Candidates are expected to be able to work independently as well as in groups and with minimal supervision. Position may require overtime.
- Interact professionally with Project Managers and technical staff to quickly resolve questions or technical issues, particularly on time-sensitive tasks.
- Communicate effectively and provide proper follow-up.
- Manage multiple assignments/requests from staff.
- Expertise with Excel and Word
- Experience with Microsoft Project and other project management tools is a plus.
- Notary or ability to become a notary required.
- Valid US driver’s license required.
