Graham Healthcare Group is hiring an Executive Administrative Assistant / Project Coordinator who will provide administrative and operational support to the SVP Clinical Integration & Performance Management as a proactive and resourceful ambassador of Graham Healthcare Group, Home Health. This position must thrive in a fast-paced environment while managing multiple projects efficiently and effectively. In addition to being organized and analytical, the position will exercise good judgment and possess the interpersonal skills needed to interact with a variety of people across multiple job functions and levels.
Exec Admin Assistant / Project Coordinator Responsibilities:
Project Coordination (70%)
Coordinates activities associated with the Learning Management System (LMS) that supports the needs of home health system-wide education and training. Generates reports to share with leadership to monitor training adherence.
Coordinates the development of relevant GHG SharePoint Publishing Sites and Workspaces.
Coordinates activities associated with assigned projects that may require scheduling of virtual or in-person meetings; aids in the development of content and tools for training or meetings; compiles reports; and creates communication notices when applicable.
Coordinates project plans that monitor and track progress. Develops and maintains comprehensive project documentation. Escalates needs and barriers as necessary to maintain timeline and deliverables.
Leads and/or participates in multi-department/cross-functional committees and work groups which support key initiatives, prepares reports, data, agendas/minutes, or other materials for committee or presentations.
Executive Administrative Support (30%)
Coordinates schedules for virtual or in-person meetings, conference calls between various partners and global teams across all time zones.
Coordinates team off sites/events, trainings, and celebrations (e.g., workshops, team events, etc.)
Schedules and handles business travel arrangements, including flight/hotel/car service bookings and compiling detailed itineraries; when appropriate.
Handles highly confidential information and anticipate needs of the executive.
Communicates with other assistants and departments to ensure collaboration of various matters.
Qualifications:
Ability to work with multiple projects, priorities, and deadlines. Willing to do what it takes to get the job done.
High energy: developed skill set that includes project planning, coordination, and engagement that enable efficient, timely task completion of deliverables that meet or exceed project expectations.
Experience with multi-phase implementation of health care initiatives with related project life cycle activities.
Demonstrated capacity to successfully contribute to teams, while also able to work independently with minimum supervision.
Organized and detail-oriented with strong follow-up skills. Exercises sound judgement.
Adept at thinking strategically and analytically. Excellent problem-solving skills, including the ability to identify challenges and research and recommend solutions.
Flexible and able to think creatively when using new tactics or strategies.
Ability to communicate effectively and professionally, both verbally and in writing.
EDUCATION and/or EXPERIENCE:
College degree.
Advanced computer skills: Office 365 and SharePoint required. Power BI preferred.
Experience working in a healthcare environment preferred.
