JOB SUMMARY

The School of Business Undergraduate Programs Office is seeking a full-time Administrative Coordinator (Administrative Program Support 2). The incumbent will report to the Executive Director of Undergraduate Programs and will provide administrative and Program Support for the undergraduate Business Connections Learning Community (BCLC) and administrative support for the Undergraduate Programs Office. The position will be based at the Stamford campus. Evening and weekend hours will be required in support of program events and activities. In-state, out-of-state, and occasional international travel will also be required.

DUTIES AND RESPONSIBILITIES

Include but are not limited to:

  • Providing administrative support and office coordination for the Undergraduate Programs Office (UPO). Additionally, but not limited to, coordinating meeting logistics, space usage, and technology needs in Stamford. Serving as a liaison between Stamford, Hartford, Waterbury, and Storrs offices supporting undergraduate programs in the School of Business.
  • Responsible for coordinating and processing aspects of hiring student and SPAR employees for all UPO campus locations, including but not limited to, advertising, hiring documentation, and Core-CT transactions.
  • Coordinating and implementing the day-to-day administrative activities for students in the Stamford BCLC Program, including coaching students leading small committees to ensure consistency of the program.
  • Actively participating in the planning, development, implementation, and evaluation of activities to ensure that students are achieving the established learning outcomes and retention goals of the UPO. Activities for the Stamford BCLC include, but are not limited to, professional events, field trips, and alumni visits.
  • Conducting one-on-one interactions with first- and second-year business students as needed to better connect them to University services and resources; assisting with planning and coordinating activities for this group of students.
  • Regularly engaging Stamford BCLC student leaders to solicit input to evaluate program effectiveness from a student perspective.
  • Overseeing the weekly promotion of the Stamford BCLC program to current students by using a variety of media formats.
  • Updating and maintaining the Stamford BCLC academic calendar; monitoring and tracking Stamford BCLC student progress throughout their program to ensure seamless transitions from semester to semester.
  • Working with UPO processes to document and implement procedures.
  • Serving as a resource to students, faculty, staff, and external constituents on community research opportunities and matters relating to program activities as well as University and program policies, regulations, and requirements. Providing guidance and making referrals as appropriate.
  • Ordering and maintaining inventory of office supplies and promotional items for the BCLC and UPO.
  • Preparing, processing, and maintaining purchase requisition and purchase orders and related fiscal records of expenditures and income according to UConn policies and procedures.
  • Monitoring department expenditures against budget; making budget recommendations to the Executive Director for Stamford BCLC.
  • Hiring, supervising, training, and evaluating student employees; determining work assignments and work schedules; monitoring progress on projects and prioritization of tasks adjusting assignments to accommodate priority needs.
  • Developing, updating, and maintaining data for UPO needs. Preparing reports and queries to support office functions as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in a related field and two years of related experience. An equivalent combination of education and experience may be substituted for the degree and years requirement.
  • Proven experience planning, organizing, and executing events.
  • Proven experience working successfully in both an independent and team environment.
  • Demonstrated ability to multitask in a high-traffic office.
  • Demonstrated proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Demonstrated experience taking initiative, working independently and accurately, exercising sound judgment when making decisions, and meeting deadlines.
  • Demonstrated excellent written, verbal, and interpersonal communication skills and the ability to build and maintain collaborative relationships with faculty, staff, students, administrators, external agencies/groups, and the public.
  • Dependable transportation and willingness and ability to work evening and weekend hours and travel in-state, out-of-state, and internationally as needed in support of program activities.

PREFERRED QUALIFICATIONS

  • Demonstrated experience working in a higher education environment in a university setting.
  • Demonstrated experience working with undergraduate students.
  • Demonstrated experience working in a university learning community setting.
  • Demonstrated experience updating professional social media accounts.
  • Demonstrated experience supervising student workers and/or other employees.

APPOINTMENT TERMS

This is a full-time position based in Stamford, CT. The target salary for this position is $50,091. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
