Mitsubishi Power Americas, Inc. in Lake Mary, Florida is looking for a Project Administrative Coordinator.
SUMMARY
Provide a variety of administrative duties for management teams such as travel arrangements, calendar management, resolving priorities with constant changes with all levels of management. The ability to work under pressure with short deadlines is needed.
Assist in the day-to-day activities related to supporting Project Engineering and Project Management.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Compose correspondence and other communications.
- Maintain a system whereby records related to Projects & Engineering are kept up-to-date and are easily accessible by responsible management.Prepare invoices, purchase orders, and purchase requisitions as requested.Compose and prepare correspondence, spreadsheets, reports, and other documents as required
- Organize and maintain file system and file correspondence and other records.
- Prepare package labels, send packages and certified letters, as requested.
- Arrange and coordinate travel schedules and reservations.
- Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, coordinate meals as needed, and record and transcribe minutes of meetings.
- Provide administrative support for other departments as needed and as time permits.
- Assist PMs/APMs with Concur/expense reports
- Purchase Requisition.
- Coordinate laptop, cell phones and travel instructions for TFA arrivals and departures.
- Monitor and track cell phone usage and prepare a monthly report to upper management for review
- Request expense report list of all charges not submitted in Concur (monthly) and submit to upper management for review
- Pull monthly report from SAP-ME5J to list all PRs not converted to POs and send to Global Sourcing
- Adhere to retention policy for all documents.
- Assist with implementation of new systems related to Projects.
- Send Change Orders or legal documents for projects to Legal.
- Submit “SharePoint Project Site Setup Inputs and Checklists” form to IT through Help Desk Tickets for new project setup in SharePoint.
- Perform such other duties as may be required from time to time by the company.

- Education and/or Experience: Associate's degree (AA) or equivalent from two-year college or technical school; or three (3) years related experience and/or training; or equivalent combination of education and experience.
- Language Skills:Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Mathematical Skills:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Reasoning Ability:Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Computer Skills: Basic personal computer skills including electronic mail, word processing, spreadsheet, etc.
