Job description

Black Box seeks an Administrative Coordinator (On-Site) responsible for performing day-to-day administrative and purchasing functions supporting a customer-site operation. The Administrative Coordinator reports directly to the Customer Operations Manager.

Responsibilities:

  • Assists in the overall day-to-day operations of the Administration Department, including maintaining financial transactions, ticket handling, record management, internal and external customer service, and purchasing.
  • Assures all administrative tasks, such as; vendor invoices, account summaries, reports, and tickets, are processed on time.
  • Assist the Manager with record management and security and safety program updates.
  • Manage purchasing requisitions and follows up on requests. Reconcile invoices, packing slips, timesheets, and the corresponding purchasing orders. Work directly with vendors to handle charge discrepancies.
  • Coordinate billing functions for various customer accounts, including; invoicing and resolving billing-related matters. Work directly with customers to handle billing questions or discrepancies. Conduct a monthly reconciliation of the customer ticket transactions to their respective accounts to ensure billing accuracy.
  • Record Management, including all filing, version control, and distribution.
  • Customer Service excellence; must create a positive internal/external customer support experience and maintain strong customer relationships.
  • Effectively communicate and collaborate with all levels of the organization.
  • Must be able to work in a team environment, providing support.
  • Follow all policies and procedures as defined.

Education and Experience:

Associate's Degree in Business Administration or Accounting or, in lieu of a degree, year-for-year experience of at least (3) years Administrative Support and (1) year of basic accounting experience. Proficient in Microsoft Office (Access, Word, Excel, Outlook, and SharePoint). Strong analytical abilities, attention to detail, organizational skills, and a strong aptitude for numbers. Excellent customer service skills.
