Program Specialist - Case Management and Children's Services


Position Summary:

The Program Specialist for Case Management and Children's Services
primarily provides support to Case Management and Children's Services programs. This
position is responsible to ensure compliance with Quality Assurance plans and state regulations.
The Program Specialist maintains effective communication with Program Coordinators,
Supervisors, Managers and the Director of Case Management and Children's Services. The
Program Specialist works closely with and provides audit support to the Quality Assurance
Manager.


Reports To:

Quality Assurance Manager with dotted line to Director of Case Management and
Children's Services.


Duties:

In collaboration with the Quality Assurance Manager, Program Managers, and Director:
1. Proficiently and effectively work within internet based electronic health record.
2. Effectively provide quality assurance feedback regarding documentation of billable
services in accordance with MaineCare standards.
3. Create and maintain accurate and current services authorizations.
4. Maintain proficiency with the electronic health record by attending user groups and
webinars as needed.
5. Provide quality review of assessments and treatment plans.
6. Reviewing electronic records including performing 90 day and annual chart audits to send
to program manager for review.
7. Provide documentation audits monthly
8. Develop and maintain tracking reports including completion of monthly report card for
OPT
9. Provide audit checks for licensing as needed
10. Audit documentation and compile billing for OPT weekly

1. Comply with all federal, state and local regulations related to services for persons with
developmental or intellectual disabilities or autism, including rights of recipients and
mandatory reporting.
2. Demonstrate respect and add value to the lives of those we support.
3. Fulfill all training requirements
4. Participate as a member of the Team


Qualifications:


• Bachelor's degree in psychology, behavioral health, social work, special education,
counseling, rehabilitation, nursing or related field.
• Minimum 2 years related experience.
• Must have a valid driver's license, clean driving record and reliable transportation (up to
date inspection, registration and insurance meeting Maine state requirements) to be
available for use during work hours.

Abilities:

This position requires the ability to function comfortably both independently and in a
team in environment, as well as the ability to effectively communicate with staff at all levels.

Exceptional organization, communication and interpersonal skills are essential. Must have a
strong working background in quality assurance or similar field. Attention to detail is imperative
for the success of this position. Proficiency with electronic software (Microsoft Office Suite) and
electronic health records.


Physical Demands:

The physical demands described herein are those that must be met by an
employee to successfully perform the essential functions of the job and include climbing stairs
regularly, carrying and lifting materials weighing up to 25 lbs, bending and stretching.


Mental Demands:

Must be able to assume a wide range of responsibilities, be self-directed, and
effectively work within a busy and demanding environment.

Confidentiality: The Progress Center employees may have access to or be required, as part of
the duties of this job, to view, use, and/or be aware of certain Protected Health Information (PHI)
or other facts about individuals that are of a highly personal and confidential nature. Employees
must follow and adhere to all HIPAA and agency confidentiality and privacy policies and
practices. Employees may also be required to follow additional confidentiality policies and
practices required by certain programs or business units.


Work Environment:

The Case Management and Children's ServicesProgram Specialist will
primarily work from home with occasional work from The Progress Center Campus at 5 Fore
Street, Oxford location with potential travel to other locations, such as, Gray, Bridgton or
Norway.


Job Performance Evaluation:

The employee will be evaluated at 90 days and annually
thereafter unless performance warrants more frequent evaluations.


Employment Conditions:

This is a part time 40 hour a week non-exempt position that will be split with
those related benefits as outlined in the personnel policies. An initial background check will be
completed to ensure the employee meets the standards set by the agency and throughout
employment as outlined in Personnel Polices to ensure continued integrity of the employee.
