The University of New England ( UNE) Registrar's Office ( https://www.une.edu) seeks a Records and Enrollment Specialist for Graduate and Professional Programs to join a talented and innovative team. The Registrar's Office is in an exciting time of transition and growth and is looking to add to our student support services for UNE's growing Graduate and Professional Programs.
Under the direction of the Associate Registrar of Records and Enrollment, the Records and Enrollment Specialist for Graduate and Professional Programs ensures the efficient and accurate management of student Records and registration of all on-campus Graduate and Professional Programs while providing exceptional customer service to students, faculty, and Professional staff.

Flexible Work
This position will be primarily based on the Portland Campus but will complete initial orientation and training on the Biddeford campus. This position offers hybrid flexible work options after an initial 6-month review and training period (must be able to attend meetings and regularly scheduled days on the Portland or Biddeford campus). Some travel between campuses may be required. 
Responsibilities
  • Provides oversight and manages registration internally for Graduate and Professional on-campus programs., e.g., the College of Dental Medicine, College of Osteopathic Medicine, and The School of Pharmacy.
  • Processes and maintains course registration and Enrollment-related tasks promptly consistent with University policy and administrative processes and in compliance with the Family Education Rights and Privacy Act (FERPA).
    • Processes student requests for course add/drops, course and term withdrawals, administrative withdrawals, and University or Admission withdrawals.
    • Processes requests for leave of absence and reactivates students returning from an approved leave of absence.
    • Processes prerequisite waivers, overload petitions, and other various override requests.
    • Processes requests for Research, Independent, and Directed Studies.
  • Evaluates student's academic credentials and awards transfer credit coursework for currently enrolled students.
    • Research, apply, and uphold varied policies and procedures related to transfer credits.
    • Reviews, analyzes, and evaluates student Records and transcripts to authenticate documents and the applicability of transfer credits.
  • Performs ongoing systematic review and updating of the Standard Operating Procedures and Yearly Production Calendar specific to the Graduate and Professional on-campus student registration cycles.
  • Assist in identifying trends and patterns in enrollment data to support decision-making and process improvement.
  • Collaborates with the Assistant/Associate Registrars to research and resolve complex records issues.
  • Partners with students, faculty, and staff from other University offices to exchange information to identify and resolve enrollment-related issues in compliance with FERPA.
  • Uses Access and COGNOS (report software) to provide reports to constituents and the University Registrar's Office to support and monitor the registration process University-wide.
  • Serves as a resident expert in student registration and Enrollment and participates in and provides cross-training for staff in other areas of the Registrar's Office.
  • Perform other related duties as assigned.
Qualifications
Bachelor's degree required with a minimum of 2 years experience in a University Registrar's Office or an equivalent combination of education and experience.
  • Experience in an educational setting requiring regular interaction with various offices and people, including students, faculty, and staff.
  • Experience with Ellucian Banner or other student information systems (Ellucian Colleague, Jenzabar, Peoplesoft, Workday, etc.) is preferred.
  • Demonstrated experience with Access, COGNOS, or other report writer.
  • Demonstrated proficiency in using the Microsoft Office Suite, particularly in Excel.
  • Strong interpersonal and communication skills and the ability to work effectively with various constituencies in a diverse community.
  • Must work independently with minimal supervision, sustain productivity despite consistent interruptions, juggle multiple tasks simultaneously, plan and anticipate, manage time well, think critically, and comport themselves professionally and ethically.
  • Use judgment to apply existing policies. Must be able to apply their knowledge of University policies to responsibilities. Must be able to read and interpret the intention of these policies to identify when specific actions compromise academic integrity despite there not being a clear policy for every possible case.
  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of customer service standards and procedures.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Knowledge of college-level student records principles, policies, and University of New procedures.
  • Knowledge of computerized student information systems.
  • Ability to maintain confidentiality of student academic-related records.
