Job Summary:

Under the direct supervision of the Directors of the Vincentian Center for Justice, the Operations Coordinator will provide operational support for the Vincentian Center for Justice and the programs located within.

This is a full-time position.

The Vincentian Center for Justice is located in Bailo Hall on Niagara University's Lewiston, NY campus.

The Vincentian Center for Justice is a learning laboratory where we reimagine what is possible for college students in today's world. We believe that a college education should have value and meaning, and we seek to empower students to achieve their dreams. Our mission is to create a learning community centered on the pursuit of justice; to critically examine the meaning of justice and its denial; to impart knowledge of struggles for justice, past and present; to illuminate the intersection and interconnectedness of justice struggles across contexts and levels of human interaction; to provide models and tools that will empower students; to build a just community premised on equality, cooperation, and other shared values; to inspire the members of our community to pursue their vocations as advocates for justice.

The Center serves as an incubator for student justice initiatives, active learning, community building, collaborative justice program development, and engagement on campus and beyond Monteagle Ridge. It serves as the hub of student and faculty activity and the gathering space for learning, planning, and doing across all facets of justice. It includes spaces for students to congregate, relax, and collaborate; state-of-the-art technology for remote internships; and resources for Justice House initiatives at the local, national, and global levels.

Essential Duties:

  • Oversee site management (security, maintenance, health and safety, technology, parking, office space) Assist with activities associated with all programs located within or affiliated with the Vincentian Center for Justice. This can include, but is not limited to, conference planning, event planning, program events and student gatherings. Assist with coordination, marketing, outreach.
  • Facilitate scheduling of spaces within the Vincentian Center for Justice (Community Room, International Room, Student Lounge, Pre-Law Center) with internal academic program partners and external community organizations
  • Manage communications such as events, programming activities, trainings, and speakers/presentations with staff, students, faculty, and external community organizations
  • Track and contribute to reaching key performance indicator (KPI) benchmarks. This includes student recruitment and retention, fundraising, expansion of programming, and program visibility.
  • Assist with Justice House housing initiative by serving as the primary point of contact with NU's Residence Life department regarding Justice House housing matters
  • Develop and deliver onboarding for new student employees. Manage and coordinate schedules of work study students and graduate assistants and all paperwork associated with student positions. Train, schedule, and manage student employees to provide welcome and reception services. Perform timekeeping and record-keeping duties for staff and student employees, such as reviewing timesheets and maintaining files;
  • Operate welcome desk and reception area coverage of welcome desk
  • Receive and distribute mail and handle both internal and external campus mailings
  • Ensure upkeep and maintenance of office supplies, forms, and brochures and control inventory of office equipment and supplies;
  • Process and monitor purchase orders and follow up as needed;
  • Monitor departmental budget and report irregularities to supervisor;
  • Serve as a centralized contact for building maintenance requests
  • Development, communication, and enforcement of site-related policies (eg. COVID protocols)

Required knowledge, skills and abilities:

  • Successful experience in facilities management
  • A high degree of proficiency in written and spoken English
  • Numeracy skills to be able to verify the accuracy of work.
  • Proficiency to handle various office machines including but not limited to keyboard, calculator, computer, copier, and fax machine.
  • Capacity to troubleshoot information technology and audio-visual issues.
  • Ability to receive telephone calls, respond to inquiries, and effectively communicate with others.
  • Computer literacy, including Microsoft Office, Google products, Gmail, etc., and ability to learn new computer software programs.
  • Excellent organizational skills and attention to detail.
  • Ability to perform all essential job functions accurately with minimal direct supervision.
  • Ability to display sound judgment to ensure timely processing and completion of assigned tasks.
  • Office management skills with the ability to work independently and accept responsibility.
  • Ability to be flexible and cordial to all visitors and customers and maintain confidentiality.
  • Strong verbal and written communication skills

Qualification Standards:

  • High School diploma required with education, training, and experience that provides the necessary knowledge, skills, and abilities;
  • A minimum of four years of experience performing similar tasks is required;
  • Prior work experience in an educational setting is preferred.
  • A valid U.S. driver's license is required that satisfies both University and insurance company underwriting rules and regulations for driving a motor vehicle.
