With minimal supervision, performs a variety of complex administrative support and technical support duties by managing the Department of Plant Industry (DPI) office communications and working with DPI Director, managers and staff to accomplish the DPI mission. Responsible for assigned financial duties including deposits, payment management, and other related duties. Coordinates process improvement initiatives. Assists with information gathering and data management for Department. Provides technical assistance to staff and regulated community. Completes other duties as assigned.
JOB DUTIES:50% - Essential - Program Coordination: Coordinates Department of Plant Industry (DPI) office activities by fielding phone calls to multiple office lines, monitoring and responding to multiple DPI email accounts, performing routine mailings and managing incoming mail, financial processing responsibilities as assigned, completing paperwork, filing, scheduling meetings, and managing supplies and ordering as needed. Communicates Department concerns with management and develops improvements in data collection, client payments, and other processes. Communicates professionally and timely with clients. Assists with new staff orientation and management of staff tools and supplies.
30% - Essential - Reporting: Works collaboratively with DPI team members, especially Department Director and area Managers, to complete assigned tasks such as notes taking, drafting and implementation of surveys to staff and the public, strategic plan management, organizing and setting up meetings, and other reporting duties as assigned. Records, edits and distributes notes for meetings as assigned. Communicates client information, survey and inspection results, and other pertinent information with managers to aid grant reporting and response to pest detections or non-compliances. Performs timely reporting within other University-assigned data collection systems. Performs financial duties related to billing and receipt of payments owed due to program activities.
10% - Essential - Certification and Compliance: Ensures applicable industries meet certification standards. Supports Federal and State quarantine programs and other ongoing plant protection efforts of the Department. Provides staff with notifications, tools, and methods to obtain and retain their appropriate certifications. Maintains lists of staff trainings and ensures 100% completion according to State and/or University guidelines.
5% - Essential - Education and Outreach: Coordinates, designs, and distributes quarterly DPI newsletter. Responsible for securing articles for relevant newsletter sections from program areas and assembling them into a quarterly newsletter and distributing to DPI staff quarterly. Designs newsletter to maximize reading experience and usability. Develop new outreach tools for sharing relevant Department information to other agencies and the general public. Participates in educational programming and public outreach activities emphasizing regulation through education. Collaborates with University staff, State agencies, or Federal cooperators to organize and attend events. Informs members of the regulated community and other stakeholders about plant pests and relevant services through participation in trade shows, conferences, public events, and classroom presentations. Provides technical assistance to industry.
5% - Essential - Other Duties as Assigned: Carries out an assigned role, often in collaboration with other units or agencies, to meet operational goals. Develops and maintains an understanding of emergency preparedness and agroterrorism prevention strategies, such as ICS trainings and exercises, to protect the State from threats. Assists other units within the Division of Regulatory and Public Service Programs as well as other state and federal agencies as assigned. Seeks and completes training and professional development opportunities. Maintain at least minimum competency and certification levels for assigned position.
A bachelor's degree and 1+ years of relevant program experience.

Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.
