This opening is for the PM shift, from 3:30 PM - 12 AM various days of the week and weekends. The schedule will vary weekly based on the demands of the hotel.
This Agent operates the switchboard via phone and computer, to relay incoming, outgoing, and interoffice calls as well as answer all hotel guest incoming calls from rooms.
Essential duties and responsibilities include the following (other duties may be assigned):
- Uses private branch exchange (PBX) switchboard to connect interoffice and house calls.
- Answers, screens, and routes outside and in-house calls in a courteous and efficient manner, using correct telephone etiquette.
- Supplies information to callers and records messages.
- Keeps record of requests placed by guests and ensures requests are completed.
- Completes work orders for the engineering department.
- Performs clerical duties such as filing, stuffing envelopes, etc.
- Operates radio system to relay in-house messages and information.
- Updates telephone directory in telephone computer system.
- Opens and closes DID lines in meeting rooms and runs necessary reporting for posting calls.
- Inputs wake up calls.
- Places welcome calls to guests.
- Understands and can react to emergency situations and procedures.
- Utilizes PBX and front office computer system.
- Maintain a directory of local information that contains, but is not limited to, what is close to hotel location, restaurants that deliver, major city attractions, ect. for recommendations.
- Advanced oral and written communication skills.
- Ability to speak English fluently with clarity and correct pronunciation.
- Exceptional customer service skills and experience is a MUST.
- Ability to stay calm under pressure with utmost professionalism at all times.
- At least 6 months experience in a hospitality guest services or sales role.
- Basic Computer Knowledge Required including Microsoft Office Suite.
- Previous Hotel PBX or Front Desk Agent experience preferred.
SUPPORTIVE FUNCTIONS: The hotel functions seven (7) days a week and twenty-four (24) hours per day. Due to the seasonal nature and business hours of a hotel, candidates must realize it may be necessary to move an employee from their accustomed shift as business demands. Additionally, it may be required to assist other positions in department as needed or as directed by immediate supervisor.
