Position Summary: The Executive Assistant is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. Duties are predominantly clerical and administrative in nature, but vary depending on daily needs.
Primary Duties:
· Coordinate executive communications, including taking calls, responding to emails, interfacing with clients.
· Assist CEO with administrative task as it relates to the daily operations of the company.
· Schedule meetings and events for CEO and company.
· Manage information account emails.
· Attend and write minutes for staff meetings.
· Maintain an organized filing system of paper and electronic documents.
· Maintaining compliance with all applicable record-keeping requirements.
· Uphold a strict level of confidentiality.
· Secure information by completing database backups.
· Onboard new hires which includes managing, educating, and training onsite staff.
· Maintain HIPAA Compliance.
· Maintain and update company database.
· Oversee the clerical work of clerical and other administrative employees.
· Greet guests and customers in person, or on the telephone; answer and/or direct inquiries.
· Prepare reports by collecting and analyzing data.
· Remain knowledgeable of medical coding careers and OS2U coding courses offered.
· Schedule certification exams for AAPC.
· Apply and maintain CEU’s with AAPC.
· Send out Certificates of Completion to graduating students.
· Ensure OS2U is compliant with TWC, VA, AAPC, AHIMA accrediting agencies.
· Answer a multi-line phone system.
Qualifications:
· Excellent written and oral communication skills, and exceptional customer service skills.
· Must be able to greet visitors with a pleasant demeanor and answer questions.
· Must be proficient in Microsoft Word and Excel.
· Must have data entry experience.
· Must be trustworthy and able to maintain an extreme amount of confidentiality.
· Must be able to pass a background check and drug screen.
· Possess at least three years of customer service/relations experience.
Status: This is a part-time hourly position. No benefits are offered at this time.
This is a in-person position and will work at our office in Temple. Candidate must make themselves available to complete tasks and errands in and around the Temple/Killeen/Harker Heights area as needed.
The start date for this person is anticipated to be April 15, 2024 .
