We are seeking a Personal Assistant to join our team of medical professionals. You will oversee the daily operations at our clinic, ensuring that all departments are working seamlessly together. Qualified candidates should have some experience in a similar position and should be able to work well in a fast-paced environment.
Responsibilities:
- Check phone messages and emails.
- Manage document storage systems.
- Facilitate communications between physicians, medical specialists, and medical facilities.
- Manage payroll systems.
- Manage medical equipment maintenance.
- Manage medical staff.
- Coordinate housekeeping in the office.
- Handle mail and courier services.
- Maintain office supplies and equipment.
- Maintain relationships with local businesses.
- Manage calendars, schedule appointments, and coordinate meetings
- Assist with office management duties including ordering supplies and maintaining inventory
Skills:
- Proven experience as a Personal Assistant or in a similar role
- Strong customer service skills with the ability to interact professionally with clients and colleagues
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of file management systems and document control procedures
- Ability to handle confidential information with discretion
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
