Job Summary: The Permit Coordinator works in the Pre-construction department and is responsible for coordinating, processing, and acquiring all permits required to start and complete new construction and renovation projects. The employee will be responsible for ensuring a smooth and efficient flow of deliverables to the regulatory agencies and back to the field for utilization. A strong candidate will be familiar with local permitting protocols and procedures at the regulatory agencies for specific projects and will be the link between Design Consultants, and the Construction Team for permitting matters. The ideal candidate will be familiar navigating the FDOT, BC, MDC, and other permit related websites as applicable to specific projects.
Job Responsibilities: Including but not limited to
Review, coordinate, process, and verify compliance with rules, regulations, and legal requirements applicable with permits required from approving agencies for new construction and renovation projects.
Maintain and update permit logs showing important information pertaining to the status of the permits and tracking timelines and expiration dates.
Prepare timeline schedules for obtaining approved permits from agencies.
Research and obtain required permit data such as plans, quantities, statements, COIs, permit status, etc.
Ensure sub-contractors apply and obtain permits in a timely manner to avoid project delays. Subcontractor's permits will be tracked in the permit log for reporting purposes.
Consult with project managers and Design Consultants to ensure accuracy of project data.
Prepare and submit all required permit applications and associated documents to approving agencies for new construction and renovation projects.
Communicate with permit approving agencies as required to confirm timelines and proper procedures and documentation are met.
Obtain approved permits from agencies and distribute copies to construction, project managers and team members under the supervision of the project manager.
Track all documents associated with the permit process from initial review through final permit approval to ensure timelines/schedules are met and to provide timely follow-up as required.
Manage all documents associated with the project permit process from initial review through final permit approval include Excel trackers.
Prepare NOC's (Notice of Commencements) as required by law for issued permits and maintain a log for tracking expiration dates.
Maintain all approved permits available to the Construction Team in Project Center.
Assist in applying and obtaining operational licenses as required.
Assist the Construction Team in obtaining utilities (Power, Data, Phone, Gas, etc...) sign off and recording easements as necessary.
Research and use ordinances indicating fee schedules to verify permit and impact fees assessed by the authorities.
Requirements:
High School diploma or equivalent.
3 + years’ experience coordinating, processing, and acquiring required permits from approving agencies for new construction and renovation projects.
Ability to read and interpret construction drawings, specs and related documents.
Working knowledge of engineering practices, designs, and standards pertaining to new construction projects and renovations.
Working knowledge of permit approving agencies policies and procedures for the permit approval process for new construction and renovation projects.
Ability to utilize external database systems to research and obtain required permit data and submit permit applications to approving agencies.
Experience using software applications such as Word, Excel and Microsoft Outlook.
Ability to deal tactfully and communicate effectively with project managers, Design Consultants and permit approving agency officials to discuss or resolve permit related problems.
Ability to communicate effectively, verbally and in writing.
Experience working within a project team and collaborating with project team members.
