Payroll/Accounts Payable Specialist will provide day-to-day support to the accounting team with an emphasis on accuracy and efficiency. The successful candidate thinks critically and logically; effectively manages competing priorities; possess strong attention to detail and commitment to accuracy; communicates well both verbally and in writing; and is flexible and highly dependable. This role will work under the direction and oversight of the Accounting Team and Controller
DUTIES & RESPONSIBILITIES
- Enter vendor bills into QuickBooks
- Assist with daily reconciliations of TRACK time reporting exceptions
- Weekly Payroll processing for multiple companies, including data entry, upload from TRACK time management system, submission, review processing for 250+ employees
- Maintain all payroll related files
- Assist with Union Dues: Monthly calculations and reporting
- Obtain invoice approval
- Weekly error free database accounts payable invoice entry
- Ensures all payroll/AP checks are issued in a timely manner
- Establish and maintain an effective tracking system to stay in compliance with payment terms
- Assist with Reconciliation of General Ledger accounts.
- Assist with Analyzing and Preparing supporting schedules for General Ledger accounts
- Handle vendor inquires and maintain vendor files
- Process 1099 statements and ensure they are mailed prior to the deadline
- Other duties as directed to support the Accounting Team and Controller
- Onsite employee Monday through Friday
QUALIFICATIONS
- Associates degree in accounting, finance or related field with three plus years of combined Accounts Payable and Payroll processing experience performing all payroll functions for 100+ employees
- Full-range understanding of the payroll process
- Understanding of GAAP and experience with accrual basis accounting
- Experience with TRACK exceptions and reporting a plus
- Experience with QuickBooks preferred
- Efficient in Office 365, Excel, Word, Outlook
- Strong ability to meet deadlines and set priorities
- Ability to maintain confidentiality and exercise extreme discretion
- Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
- Strong organizational skills, and the ability to work under pressure
- Ability to handle and prioritize multiple tasks and meet all deadlines
- Able to work effectively as part of team and independently
- Extensive records management experience
- Prior experience in vendor/employee relations
- Have the ability to work as a team
