We are looking for a dynamic Payroll & HR Coordinator to perform various administrative and payroll tasks. Duties of the role include providing support to the Human Resources Manager, assisting with daily departmental needs, and managing the department's general administrative activities along with payroll and reporting. The ideal candidate should have excellent oral and written communication skills and be able to wear many hats. Ultimately, a successful candidate should ensure the efficient and smooth day-to-day operation of the Human Resources Department by performing administrative tasks and services to support the effective and efficient operations of the organization's human resource department.
Responsibilities
- Recruiting and scheduling interviews with candidates
- Prepares periodic reports for management on matters such as the number and nature of problems with returned documents
- Audits I-9 documents to ensure compliance with Immigration Reform and Control Act (IRCA) requirements
- Sorts, prioritizes, reviews for accuracy and processes incoming payroll/personnel documents
- Write and distribute emails, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Maintaining employee files
- Processes required paperwork for employee transfers, immigration filings, changes in job classification, salary increases, and other related employment matters.
- Assist with managing new hires & separation process
- Responding to Agency notices
- Submit and reconcile expense reports
- Researches missing documentation or discrepancies
- Assist with preparing human resource reports such as attendance, new hire, and turnover reports
- Maintains records and statistics for all general payroll processes, such as IRCA, direct deposit, stop payments, bank reconciliations
- Provide day-to-day administrative support to Human Resources Manager
- Assist in the gathering of internal information in response to regulatory requests
- Receives and records incoming payroll documentation
- Investigates and resolves complex payroll problems according to FLSA, State Wage and Labor Code, INS and IRS regulations, and company policies and procedures
- Inputs information to the online system to establish taxation status
Skills
- Basic knowledge and understanding of labor law and compliance
- High degree of professional ethics and integrity
- Sound judgment and ability to analyze situations and information
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of HR functions and best practices preferred
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Ability to maintain confidential information
Education & Experience
- Associate or Bachelor’s Degree (Business Administration, Finance or HR-related field) preferred
- 1-2 years of Administrative, Payroll or Office Support experience REQUIRED
- 1-2 years of related experience or equivalent combination of education and experience

Job Type: Full-time (Monday to Friday, 9 AM – 5:30 PM), overtime, and weekends may be required based on operational needs.
