Job Summary:

The Payroll Coordinator is accountable for the day-to-day activities related to supporting, processing and auditing company payroll and benefits.  Key responsibilities include one or more of the following:  processing new hires, terminations, employee status changes, tax changes, deductions, direct deposits, computing and processing time sheet data, pay adjustments and special pays; maintains vacation, sick leave records; compiles reports on base and premium pay; generates checks; and researches and produces special reports.  

RESPONSIBILITIES:

  •  Payroll Related Operations:
    • Perform daily, quarterly and annual payroll department operations.
    • Manage workflow to ensure all payroll transactions are processed accurately and timely.
    • Accurately prepare and process hourly and salary employees pay based on pay frequencies.
    • Review and validate payroll accuracy before releasing for final confirmation.
    • Validate new hire/rehire set up and taxation.
    • Monitor and validate taxation for state and locals as needed for accurate payroll.
    • Process garnishment orders timely to maintain compliance.
    • Validate and review time and attendance as needed to ensure accuracy in pay.
    • Process accurate and timely year-end reporting when necessary.
    • Develop and process ad hoc earning reporting as needed or requested.
    • Process off-cycle manual check as needed for missed pay and terminations according to state regulations.
    • Resolve payroll discrepancies by collecting and analyzing information.
    • Document and update payroll processes and procedures. 
  •  Benefits Administration:
    • Assist in new hire benefits education and enrollment.
    • Review and processing of benefits related questions and changes.
    • Review, reconcile and process benefits invoices.
    • Assist in annual open enrollment preparation, education, communication, processing, reporting and other related duties.
  •  On/Off Boarding and Employee Changes:
    • Enters new employees into appropriate systems to ensure accurate and timely onboarding.
    • Review and processes change requests to employee records / status.
    • Enters payroll changes and reviews employee-initiated benefit enrollment requests and/or changes for processing.
    • Processes termination of pay and benefits coverage with all carriers for exiting employees not relayed via data file transfer including overseeing and communicating with COBRA Administrator and verifying notifications are processed to employees and eligible dependents.
  •  Maintains Employee Records:
    • Create and maintain employee / personnel records to include all related employee documents, I-9’s, etc.
    • Ensure all benefit information on the vendor online and other database systems are current and accurate.
    • Process and maintains backup of employee benefit enrollment, personal changes and termination information.
    • Provides verification of employment for current and former employees. Continuous Professional Development
  •  Other Duties:
    •  As needed help with other projects on across the HR department.
    •  Be trained and as needed, assist with front desk / reception coverage. 

QUALIFICATIONS:   

  •  Associate's degree required
  •  2+ years of payroll experience required
  •  Benefits processing experience is preferred
  •  Have knowledge and apply practices in compliance with laws, regulations, and practices for payroll and benefits.
  •  Working knowledge of UKG Payroll & Benefits is highly preferred

PHYSICAL DEMANDS  

The candidate will work at our corporate headquarters in Frisco, TX.  While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; talk or hear.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
