Alvin Ailey Dance Foundation, one of the world's premier dance institutions, seeks an experienced and motivated Payroll & HR Administrator to join the Finance and HR teams. Alvin Ailey Dance Foundation is a nonprofit organization comprised of Alvin Ailey American Dance Theater, Ailey II, The Ailey School, Ailey Arts In Education & Community Programs, and Ailey Extension.

The organization's mission is to further the pioneering work of the choreographer, dancer, and cultural leader Alvin Ailey by establishing an extended cultural community which provides dance performances, training, and community programs for all people. As important as its artistic and educational mission, the Ailey organization plays a social role, using the beauty and humanity of the African-American heritage and other cultures to inspire and unite people of all races, ages and backgrounds.

 Annually, nearly 500,000 people experience Ailey performances and programs. Designated "Cultural Ambassador to the World" by the U.S.  Congress, Alvin Ailey American Dance Theater has 32 of the most talented dancers in the world and a diverse repertory that is unparalleled in modern dance. A typical year includes engagements in its home base of New York City with 5 weeks each winter at New York City Center and 1-2 weeks each spring at Lincoln Center, a North American tour that visits 20+ cities, and extensive international touring. 

The multifaceted Ailey organization also encompasses: Ailey II, a widely-touring second company that showcases "the next generation of dance"; The Ailey School, which provides world-class training to students ages 3-25; Ailey Arts In Education & Community Programs, which provide people from diverse cultural and economic backgrounds the opportunity to explore dance, build self-esteem, and develop life skills; and Ailey Extension, which offers dozens of "real classes to real people" each week at Ailey's building in midtown Manhattan, The Joan Weill Center for Dance.

We are seeking a Payroll & HR Administrator that will report to both the Director of Finance and Director of People & Culture.  This individual will be the subject matter expert responsible and accountable for managing the entire processing of a weekly payroll with a short deadline, ensuring compliance with applicable federal and state payroll regulations, tax filing deadlines and customer support requirements. This position is responsible for all payroll account transactions (e.g. salaries, benefits, garnishments, deductions, taxes, and third party payments) and supporting human resources.

Payroll Responsibilities:

  • Collect, enter, review timesheets, process, and distribute payroll on a weekly basis for approximately 400+ employees including those under collective bargaining agreements (union).
  • Process employee changes (e.g. new hires, terminations, position transfers, status changes, compensation) and maintain accurate electronic employee personnel files
  • Process liens/garnishments, benefit deductions, third party payments and tax deductions
  • Respond to unemployment and employment verification requests
  • Possess strong knowledge of federal, state and local payroll and tax laws responding to any tax notices/inquiries
  • Respond to auditing/regulator inquiries as it relates to payroll audit and compliance providing information/documentation for audit requests
  • Provide timely, high quality customer service to our employees with respect to their compensation concerns, including overtime, tax withholding forms, time off, retirement and benefit deductions
  • Work in conjunction with payroll account assistant who is responsible for assisting employees with their payroll accounts (direct deposit set up, password resets, earning statement copies, etc)
  • Ad-hoc (reporting/processing for: workers compensation, EEO, census, headcount, etc.)
  • Work with Ceridian Support to resolve configuration and/or technical issues
  • Amend user guides as necessary

 

HR Responsibilities:

  • Supports HR by performing all transactional duties in relation to administering deductions for medical, dental, flexible spending, retirement and life benefits and maintaining all employee records.
  • Have a deep understanding of various benefit plans, responsible for set-up in Ceridian including processing annual benefit rate changes and open enrollments and answer benefit questions as needed.
  • Assist new hires with initial benefit enrollment, make updates when qualifying events and separations occur, cancelling benefits and adhere to COBRA compliance.
  • Assist with tracking leaves as it relates to accurate benefit and payroll records.

 

Required Skills and Experience:

  • Robust knowledge of Ceridian Dayforce HCM system functionality including import/exports and reporting
  • Extensive experience with processing payroll for multiple pay groups and various pay policies
  • Strong attention to detail is a must
  • Strong time management skills with the ability to multi-task and prioritize tasks within a short deadline of a weekly payroll
  • Strong organizational, communication, interpersonal skills
  • Highly proficient in SharePoint lists, Excel, Word and PowerPoint
  • High level of trustworthiness and discretion to manage confidential employee information.

 

Education/Experience:

  • BA/BS Business Administration, Finance, and or related 5-7 yrs. experience in a similar role (Payroll/HRIS)
