Job Summary:


We are seeking a dynamic and organized Patient Coordinator to join our team. The Patient Coordinator plays a pivotal role in ensuring a seamless and positive experience for our clients, from their initial inquiry to the completion of their treatment. This position requires excellent communication skills, attention to detail, and a passion for delivering exceptional Patient Care. The current position is part-time requiring 12 hours a week with the opportunity for a full-time role as you grow into the position. Days are flexible. It is absolutely vital that you are a team player and prepared to be flexible with your roles where help is needed. Responsibilities are not limited to what is described below.


Responsibilities:


1. Patient Engagement: Serve as the first point of contact for prospective and existing clients. Answer inquiries via phone, email, and in-person, providing information about our services, pricing, and appointment availability. A portion of your time will also be dedicated to providing our marketing team with social media content.


2. Appointment Scheduling:
Schedule client consultations and treatment appointments efficiently, taking into account client preferences and practitioner availability.


3. Consultation Coordination:
Assist in organizing and preparing for client consultations. Ensure that necessary forms and documents are completed and that the consultation rooms are ready for use. Make necessary communication with outside referring providers to obtain labs and other necessary information.


4. Billing and Payments:
Accurately process payments and invoices, providing clients with detailed billing information and assisting with financing options when necessary.


5. Patient Records:
Maintain organized and confidential patient records, including contact information, medical history, consent forms, and treatment plans.


6. Follow-Up:
Conduct follow-up calls or emails to check on the progress of clients after their treatments and address any questions or concerns they may have.


7. Client Education:
Provide information to clients regarding pre- and post-treatment instructions, skincare regimens, and other relevant information to ensure a successful treatment experience.


8. Marketing Support:
Collaborate with the marketing team to help plan and execute marketing initiatives and promotional events. Collect and maintain client testimonials and before-and-after photos for marketing purposes. Support with social media needs.


9. Patient Relations:
Build and maintain strong relationships with clients, ensuring their satisfaction and loyalty. Address any inquiries or concerns professionally and promptly.


10. Compliance:
Ensure that the clinic complies with all relevant laws and regulations related to patient information privacy and treatment consent.


Qualifications:


  • High school diploma or equivalent; college degree preferred.
  • Previous experience in a customer service or patient coordinator role, preferably in a healthcare or aesthetic setting.
  • Strong interpersonal and communication skills, including effective sales skills.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in scheduling software and electronic medical records systems.
  • Knowledge of aesthetic treatments and skincare products is a plus.
  • Ability to maintain professionalism and confidentiality.
  • Proficiency in using Microsoft Office and other office software.
  • Experience in sales and lead management, with a track record of successful lead conversion and relationship building.
  • Experience with social media apps such as Instagram and Tik Tok
